Schedule: 32 hours per week - 8:00am to 4:30pm Tuesday through Friday; may include evenings, holidays, and weekends as needed
Priority consideration will be given to applications received by December 6th.
This position is in person, with the possibility of some remote days during the off-season.

OVERVIEW

The position of Finance Specialist reports directly to the Senior Manager of Operations and is responsible for completing and maintaining the unit's accounting records. This includes completing nancial tasks, maintaining cash handling protocol, budget preparation and monitoring, and coordinating scal year closing. This position may work evenings, holidays, and weekends.

JOB DUTIES

Financial Responsibility (95%)

  • Provide monthly nancial and foundation reports to senior leadership. Develop reports to share with managers and other stakeholders as requested by senior leadership.
  • Prepare all incoming invoices for payment; create purchase orders and manage requisitions, vendor payments, and communicate with vendors.
  • Submit accounts receivable paperwork for invoicing. Reconcile payments to ensure payments are made in a timely manner.
  • Perform daily cash reconciliations.
  • Calculate and submit the monthly state and city sales tax documents and process the payments to the city and state.
  • Complete the appropriate documents to set up new suppliers in the UMN Financial System.
  • Serve as the primary purchaser for Glensheen.
  • In coordination with the Senior Manager of Operations, ensure that a separation of duties exists for cash handling and nancial processes to meet auditor requirements.
  • Reconcile and balance revenue transactions in the nancial accounts for Glensheen.
  • Research, analyze and resolve general accounts transaction problems.
  • Support senior leadership in the preparation of project budgets for grants, preservation projects, and special projects. Ensure compliance with contract regulations and be responsible for effort certication.
  • Work with Glensheen's back ofce system that is used to congure ticket sales, retail sales, and memberships.
  • Enter donations into the Donor Management System (DMS) and follow through with nal processing.
  • Develop and maintain protocols for cash handling. Educate staff on appropriate cash handling procedures.
  • Serve as backup to the Senior Manager of Operations as the Payment Card Manager.
  • Maintain accounting les to ensure compliance with University policy and standards.
  • Support the Senior Manager of Guest Services in the payroll verication process. Serve as backup in their absence.
  • Coordinate with the Ofce of Budget & Analysis and the Controller's Ofce on scal year closing procedures.
  • Maintain knowledge of industry standards for accounting and nance. Disseminate information to staff across the estate on innovations and trends.

Other Duties as Assigned (5%)

  • Serve in the role of Opener/Closer in rotation with other staff to provide opening and closing support for the estate including arming and disarming of the security system. This may include weekend, evening, and holiday shifts.
  • Interact with guests at Glensheen. Strive to interpret Glensheen to guests in an effective, interactive, and meaningful way.
Qualifications

Required

  • Bachelor's degree in accounting, business, nance, or other related elds or a combination of related education and work experience to equal 4 years.
  • Strong verbal and written communication skills
  • Computer experience required.

  • Strong analytical, problem solving, and mathematical skills.
  • Strong customer service skills
  • Demonstrated ability to organize and prioritize multiple tasks
  • Demonstrated ability to perform tasks in an organized manner with attention to detail and timelines
  • Ability to work independently and be a self-starter.
  • Ability to work with a diverse population in a courteous and professional manner
  • Ability to work successfully as a team player
  • Intermediate knowledge of Microsoft Ofce Suite or Google Suite
Pay and Benefits

Pay Range: $24.00 - $25.50; depending on education/qualifications/experience

Time Appointment: 75% Appointment
