Job Summary

The Administrative Specialist acts as the office manager for the College Police. This position includes answering work phones, responding to Public Safety emails and assisting walk-in customers. The Administrative Specialist provides administrative support to the commander. Administrative tasks include but are not limited to, staff scheduling, creation of PO's, Requisitions, ProCard purchases, and reconciling invoices. Create and share quartly newsletters. Event planning for campus police functions.

Essential Functions

20% - Greet visitors and answers phones, responds to requests and inquires including general department emails, and assists with electronic unlocks for both CGCC campuses.

15% - Contacts vendors for purchase and delivery information, including preparation of purchase orders, requisitions, ProCard purchases and review/reconciliation of billing invoices for service contracts.

15% - Retrieves information and enters/updates information in reports, logs or other documentation for record keeping system

15% - Updates and maintains staffing schedules, calendars and related meeting materials

15% - Prepares and maintains routing and non-routine correspondence, reports, documents, records and files according to work specific direction, established standards and procedures

10% - Monitor supplies inventory, order supplies and or process and monitor supply requisitions.

10% - Other duties as assigned such as Professional Education Development Plan applications and MCCCD travel authorizations

Minimum Qualifications

Associate's Degree from a regionally accredited institution and one year of clerical, administrative office support or related experience.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications
  1. Customer service experience.
  2. Knowledge of administrative office support practices.
  3. Experience working in an information sensitive and confidential environment.
  4. Experience obtaining direction from multiple supervisors.
  5. Experience with computers and a variety of programs (i.e.) Microsoft Office and Google Suite.
  6. Experience with purchasing, travel and time keeping systems (i.e.) Human Capital Management, Finance Management System.


Special Working Conditions
  1. May be required to sit for a prolonged period of time; viewing a computer monitor.
  2. Must be able to pass a comprehensive background check, including criminal history inquiry.
  3. Must be comfortable working in an environment with armed police officers and occasionally victims, witnesses and occasionally suspects of offenses/crimes.
