Position Highlights

The Department of Medicine is seeking applicants for a Medical Education Program Professional III to oversee the administrative operations of the Internal Medicine Residency Program. Working alongside of the Program Director and Manager, the successful candidate will help to develop, coordinate, and implement medical residency programming for the 117 residents in the program.

The Internal Medicine Residency Program is a highly collegial, mid-sized academic training program that offers diverse experiences at multiple state-of-the-art training sites. It is a friendly program with high academic standards and rigorous clinical models, and residents gain exposure to a broad range of patients and faculty. Duties & Responsibilities
  • Interpret and apply appropriate guidelines, regulations, policies and procedures set forth by the University, sponsors, ACGME accrediting body, Banner Health, and outside governing agencies, ensuring compliance in all aspects of the program. This includes incorporating new policies into the program manual and recruitment material.
  • Communicate with other Department faculty and program coordinators and administrators to obtain relevant information to then develop rotation curriculum for presentation to program leadership.
  • Manage rotation schedules, information, and curriculum in program database and New Innovations platform.
  • Oversee program conference information for accreditation purposes, which includes managing the logistics of presentations, developing attendance tracking mechanisms, and securing and managing QR Codes.
  • Regularly review all existing program evaluation forms and make improvement recommendations based on accrediting body and institutional policies to the Program Manager.
  • Develop tracking mechanisms for Banner compliance items (annual flu shots, compliance learning modules, etc.) and personal information, certifications, work hours, etc. for the residents.
  • Using extensive knowledge of medical education program management, act as a resource and provide in depth training for lower level Medical Education Program Professionals in the program.
  • Manage multiple cyclical projects requiring detailed and thorough knowledge of the accreditation process, including the resident recruitment process, adapting and incorporating new accreditation policies into rotations and evaluations, Clinical Competency Committee meetings, and annual projects assigned by the GME Office.
  • Identify employee relations and/or compliance issues with residents and/or the program and bring to program leadership.
  • Oversee report creation and distribution for AMBOSS, PEAC Modules, and the Ambulatory Half-Day Faculty survey.
  • Oversee quarterly delinquent evaluation reports and work with respective parties, internal and external to the University, to achieve successful evaluation completion, which can require extensive follow up and management.
  • Update AMION reports and produce gap reports as necessary.
  • Create and distribute Chief Resident Evaluations on the platform.
  • Coordinate, prepare, and provide administrative support for the Clinical Competency Committee meetings by entering pertinent information on resident face sheets, presenting resident face sheets during the meetings and ensuring content and conduct during meetings is in compliance with ACGME requirements.
  • Serve as back up to the Program Manager in the Program Evaluation Committee meetings.
  • Maintain documentation required for ACGME site visit compliance.
  • Distribute evaluation forms to all relevant parties involved in rotations.
  • Manage the monthly reminders that go out to residents to complete New Innovations tasks.
  • Manage the filing of semi-annual reviews and self assessments in individual folders.
  • Provide calendar management and schedule meetings for the Program Director.
  • Manage, maintain and update the Internal Medicine Residency Program ListServs.
  • Maintain the program's Whats App and provide maintenance and content management for the program's website.
  • Provide logistical management and set up/tear down of resident associated events.
  • Manage all recruitment tasks including, setting up folders in the recruitment file and downloading candidate ERAS applications, managing Thalamus and Zoom interviews on interview days, and scheduling and preparing documents needed during the Candidate Ranking meetings for program leadership.

  • Ability to work in a fast-paced environment with strict deadlines
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of five (5) years of relevant work experience, or equivalent combination of education and work experience.
  • Must have a valid driver's license and ability to drive according to the University Fleet Safety Policy.
Preferred Qualifications

  • Working experience in Graduate Medical Education preferred.
  • Experience using New Innovations is highly preferred.
