The Keeper of Records is responsible for processing legal court orders, such as subpoenas and summons, and representing the bank in court to testify to the accuracy of documents. This role involves managing research requests, ensuring compliance with GLBA, and coordinating documentation for various departments. The Keeper of Records will work closely with internal teams, external legal entities, and law enforcement to ensure timely and accurate responses.

Key Responsibilities:



  • Review and process around 500 legal court orders annually (e.g., Grand Jury Subpoenas, Mass Criminal Subpoenas, Bankruptcy, IRS Summons).
  • Ensure legal documents are accurate and complete before processing, coordinating with internal teams to locate responsive materials.
  • File and record legal documents, deliver them to courts or parties, and bill agencies for research fees.
  • Collaborate with the Legal and Security teams, and appear in court to represent the bank and testify on document accuracy.
  • Process verification requests (e.g., Account Verifications, Mass Health Applications) and ensure completeness before processing.
  • Manage over 40 research requests per week from internal business units, ensuring timely completion and billing for research fees.
  • Utilize various systems (Horizon, COLD+, ImageCentre, etc.) to compile necessary documents and assist other departments in locating information.
  • Assist management with special projects, including bank acquisitions and data verification.
  • Ensure all tasks are completed in accordance with legal and regulatory standards, particularly GLBA compliance.


Qualifications:



  • High School Diploma or equivalent required.
  • Strong attention to detail and ability to manage a high volume of legal documents.
  • Excellent communication skills for liaising with internal teams, external entities, and court representatives.
  • Proficiency with multiple systems and applications for document management.
  • Ability to work independently and meet deadlines while maintaining accuracy
