Position Summary:

KeyBank is seeking an Executive Assistant to the Chief Experience and Design Officer (CXDO) to play a pivotal role in supporting the CXDO's strategic objectives while ensuring smooth daily operations within the New York office. This individual will manage a broad range of administrative tasks, including calendar management, travel coordination, expense management, correspondence, and other administrative duties for the CXDO. In addition, they will act as the primary point of contact for internal and external stakeholders, providing exceptional service and professionalism.

Also acting as the office manager and light-duty receptionist for the New York office, the Executive Assistant will ensure the workspace is organized, well-maintained, and conducive to productivity. This includes overseeing office supplies, liaising with vendors and building management, booking office events, managing office maintenance, and welcoming visitors and new employees to the office.

The ideal candidate will be a proactive, highly organized and detail-oriented professional with exceptional communication skills and the ability to balance executive-level support with operational responsibilities. This role requires an individual with a strong organizational skill set, excellent communication, and a commitment to maintaining a positive and professional office environment. A high level of discretion is also required, as the role includes handling sensitive information and interacting with senior executives and clients.

Key Responsibilities:

  • Provide comprehensive administrative support to the CXDO, including calendar management, travel arrangements, expense reports, and meeting support, among other duties.
  • Act as the first point of contact for the CXDO, handling inquiries, correspondence, and prioritizing tasks, as needed.
  • Act as a liaison between the CXDO and other departments, ensuring clear and effective communication.
  • Prepare and edit reports, presentations, and other documents, as needed.
  • Coordinate and organize in-person and virtual team meetings and events, including aligning complex schedules, assisting with travel arrangements, catering, coordinating AV/IT assistance, and helping with content preparation and collation.
  • Assist with special projects and initiatives as assigned by the CXDO.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Oversee New York office operations, ensuring smooth day-to-day functioning.
  • Maintain office supplies, equipment, and ensure facilities are operational and properly maintained.
  • Manage employee access and security badge management.
  • Greet and assist visitors, ensuring they are made to feel welcome and directing them appropriately.
  • Perform other administrative duties as required to support the team and the office.

Qualifications:

  • Bachelor's degree or equivalent experience.
  • Minimum of 5 years of experience as an executive assistant or in a similar administrative role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Superior written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
  • Strong problem-solving skills and attention to detail.
  • Experience supporting creative teams in a fast-paced, dynamic environment is preferred.

COMPENSATION AND BENEFITS

This position is eligible to earn a base hourly rate in the range of $42.00 to $50.00 per hour depending on location and job-related factors such as level of experience. Compensation for this role also includes short-term incentive compensation subject to individual and company performance.
