The Office Manager and Special Event Coordinator provides essential support to this mission by maintaining offices that are welcoming to diverse guests and supportive of colleagues, by supporting department and religious events that engage the larger campus community, and by providing executive-level administrative support to department leaders and by providing essential organizational support to a vibrant department. Additional duties include, but are not limited to:

Event Coordination
  • Establish and maintain written standards of event hospitality for the department, taking into account the experiences and particular needs of diverse constituencies.
  • Recruit, hire, train, and supervise a team of student workers to collaborate in planning, executing, staffing and evaluating hospitality events.
  • Research and contract vendors to arrange catering, acquire equipment, and other items as needed.
  • Creatively direct menus and event staging.
  • Consult with event sponsors to create and oversee event budgets.
  • Assist chaplaincy staff to plan major religious events.


Office Management
  • Maintain professional, responsive, and welcoming environment for Campus Ministry offices on main campus, especially Healy 113 and G-01, including checking in regularly with colleagues to create a supportive office environment.
  • Manage scheduling of students' work assignments to ensure front office coverage of reception desk, phones, and email accounts, and adequate administration, program, and special-event support.
  • Maintain offices spaces, including scheduling regular cleaning and maintenance, and selecting appropriate office decor in consultation with Director.
  • Submit Facilities and University Information Systems work requests for all offices as needed and track completion.
  • Ensure weekly inventories and purchasing of program support materials and office supplies for Campus Ministry offices in Healy 113, 108, and G-01.
  • Oversee procurement, maintenance, tracking, and disposal of departmental office furnishings, equipment, and technology consistent with university policies.
  • Monitor office budgets and reconcile expenses with the Central Business Office.


Department Support and Collaboration
  • Maintain current contact information for all staff, chaplains-in-residence, and department affiliates.
  • Coordinate staff meetings, retreats, and social gatherings.
  • Assist in candidate recruitment process as assigned by Assistant Vice President for Inter-religious Understanding, including correspondence, scheduling, and coordinating travel.
  • Coordinate onboarding of all new staff in collaboration with hiring managers.
  • Provide executive support to the Director of Campus Ministry and Assistant Vice President for Inter-religious Understanding.
  • Manage scheduling, correspondence, and travel.


Work Interactions

Reporting to the Assistant Director for Inter-religious Engagement, the Office Manager and Special Event Coordinator provides direct support to the Director of Campus Ministry and Managing Director, and works in close collaboration with Campus Ministry's chaplains and staff across campuses. They supervise a team of approximately six student employees; interacts frequently with students, alumni, donors, prospective families and other guests; and serves as primary point of contact for other University departments and external vendors.

Qualifications
  • Bachelor's degree
  • 3 years of relevant office and basic event-planning experience - preferably in a higher education and/or ministry context
  • Strong interpersonal and organizational skills, excellent oral and written communications, and close attention to detail
  • Proficiency with Microsoft Word and Excel, Google apps and cloud file systems
  • Ability to take initiative, juggle competing demands, set priorities and adapt quickly
  • Sensitivity to religious diversity and the ability to work collaboratively with colleagues of other faith traditions

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:
$21.16 - $35.29

Compensation is determined by a number of factors including, but not limited to, the candidate's individual qualifications, experience, education, skills, and certifications, as well as the University's business needs and external factors.
