Position Summary

DEFINITION
Under the general supervision of the appropriate administrator specific to grant, the incumbent will coordinate the implementation of a grant. The incumbent ensures coordination of the activities that support achievement of grant objectives as described in the grant proposal. The incumbent ensures for regulatory compliance and for the management of the project budget. The incumbent works collaboratively with administrators and staff in the business office and grants office to support effective project management.

CLASS CHARACTERISTICS
This is a classified position. An incumbent in this position performs professional duties and shall make decisions concerning appropriate application of policies and procedures for the grant and the district. In this position, the employee will independently perform professional work, planning, preparation, and monitor grant funded projects. An incumbent will act as the subject expert to build collaborative working relationships, actualize grant objectives, and address the needs of target populations outlined in the grant application in relation to the policies and procedures of the college. The incumbent will be self-directed and will have frequent interaction with students, faculty, staff, and administration.


Essential Functions and Qualifications

  1. Plans, organizes and coordinates implementation of the activities, services and operations of the grant project, including oversight of personnel and resources.
  2. Implements project objectives according to the timeline established in the approved grant award.
  3. Oversees and monitors grant project deliverables.
  4. Assist the Project Director/Principal Investigator in development of budgets and management of expenditures for grant funds for compliance.
  5. Collaborates with administrators and staff as necessary to manage budget and implement objectives of grant.
  6. Establishes and maintains accurate, timely, and completes recordkeeping processes, ensuring that grant reporting requirements and restrictions are observed.
  7. Communicates an informed understanding of the objectives and outcomes of the program to grant staff, administrators, other college personnel, and the grant project manager.
  8. Attends meetings required by funding source that may include out-of-state travel;
  9. In conjunction with the business and grants offices, coordinate, compile data, and prepare written grant reports.
  10. Work, as outlined in grant agreement, with an outside evaluator to implement the evaluation plan, data collection instruments, and participate in evaluation activities.
  11. If required by the grant, assists in establishing an advisory committee; serves as a member of the committee, coordinates meetings, sets agendas, and maintains meeting records.
  12. Collaborates with public affairs and publications to develop public relations materials and media information for distribution.
  13. Assist in maintaining correspondence, scheduling meetings with deans, directors, department chairpersons and faculty to support planning and development of grant projects.
  14. Attends or participates in national, state, and local professional organizations to develop and improve skills, and knowledge to monitor and improve the success of grant project implementation.
  15. Collects formative data to determine if adjustments or changes to activities and budgets are required.
  16. Monitors project activities to ensure outcomes are being accomplished on time and within budget.
  17. Maintain current knowledge of state regulations, policies and eligibility criteria for the grant including change in allowable expenses, reporting deadlines, and additional budget augmentations.
  18. Makes decisions and strategizes on budget closeout at end of grant period of performance.
  19. Performs other related duties as assigned.
Knowledge of:
  • Coordinating and implementing programs in an educational setting;
  • Project management, budget procedures and financial recordkeeping;
  • Grant management and reporting preferred;
  • Federal and state guidelines as outlined by the Office of Management and Budget (OMB)'s Uniform Administrative Requirements.
Demonstrated ability to:
  • Communicate orally, written and interpersonal skills;
  • Use a computer and typical office software;
  • Work with high level of accuracy and great attention to details;
  • Plan, organize, and prioritize work in order to meet frequent and changing deadlines;
  • Excellent organizational skills;
  • Work collegially with staff.
Working Conditions:
  • Duties are primarily performed in an office environment, at a desk or at a computer terminal.
  • The incumbent will experience interruptions while performing normal duties during the regular workday.
  • The incumbent will have contact, in person or on the telephone, with executive, management, supervisory, academic and classified staff and the general public.
Physical Demands:
  • Typically may sit for extended periods of time.
  • Operates a computer.
  • Communicates over the telephone, by email, by video conferencing, and in person.
  • Regularly lifts, carries and/or moves objects weighing up to 10 pounds.
Special Qualification :
Evidence of a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students and to staff and students with disabilities.

Minimum Qualifications

Education and Experience:
A bachelor's degree in a related field and two (2) or more years of related experience or any equivalent combination of education, training, and experience.


Additional Information

Additional information about the position:

The Grant Coordinator assigned to SMJUHSD Early College programs will work under the supervision of the appropriate Dean with oversight of Early College programs at AHC. The position will be assigned to a primary contact at SMJUHSD who will serve as the SMJUHSD Liaison. The Grant Coordinator will work out of the three comprehensive high schools, the continuation school and the CTE location.

Primary duties include: CCAP student support, enrollment services, CCAP coordination, problem solver admissions related issues, serve as one of the Dualenroll.com representatives for the college, collaborate with 5 high school site administrators, counselors, technicians and CCAP instructors, attend CCAP and enrollment related meetings, trainings and events addressing Early College programming.

The position will also work daily with AHC staff and administration to streamline and improve all CCAP related enrollment processes. Participation in CCAP and other councils, committees and task force work groups for both districts is an essential element of the position. This is a 9th-month position designed to support SMJUHSD K12 students and schools participating in AHC Early College programming.

The desired start date is July 2025. This is a full-time, 37-hour, classified, 9-month position. This position is contingent on continued funding.

Work Schedule: Monday - Thursday, 8:00 a.m. - 4:30 p.m. and Friday, 8:00 a.m. - 4:00 p.m.
