Position Summary
This is the top financial and administrative position in the Odum School of Ecology and reports directly to the Dean. This position serves as the chief business officer ( CBO) and is responsible for the financial and administrative activities of the Odum School and serves as the Dean's advisor on matters related to finance and administration. This position is a member of the school's executive leadership team, and works with faculty and staff, as well as with leadership across the university, including other chief financial and administrative officers, to develop and implement strategic and operational direction in support of the Odum School of Ecology's mission and goals. One or more business office staff members may report directly to this position.

  • Ability to serve as an advisor in financial matters to the Dean and Associate Deans.

Duties/Responsibilities
Fiscal Management: This position serves as the school's financial director, overseeing all funding.

Specific duties include but are not limited to:

  • Analyze budgetary needs and projections for the school.
  • Act as financial authority on behalf of the school by providing guidance and approvals.
  • Monitor all budgets and expenditures including year-end close.
  • Develop and update financial policies and procedures.
  • Work closely with the Dean to develop annual and long-range budgets.
  • Plan and implement annual budgets and internal budgetary allocation.
  • Manage all sources of funding for the school to include state, departmental income, grants, indirect costs, and foundation accounts.
  • Work with the Associate Dean for Academic Affairs on instructional budgets.
  • Analyze and evaluate financial implications for new programs and initiatives.
  • Ensure appropriate controls and monitoring are in place to mitigate financial risks, to include periodic audits and budget reporting.
  • Serve as the CBO in UGA PeopleSoft, managing workflow, speed types, chart fields, security requests, combo codes, and other related inquiries; maintain security access and route control maintenance.

Administration: This position manages administrative and strategic duties.

Specific duties include but are not limited to:Member of the School's executive leadership team to help establish and implement the School strategy and direction.Oversee and administer any financial or operational special projects including developing budgets related to those projects and troubleshooting issues as they arise.Advise faculty, staff and students on a wide range of policy and procedural matters.Advise the Dean on major college-level decisions.Serve on various School and university-wide committees such as: Ecology Executive Committee, ex-officio; Ecology Executive Leadership Team member; Ecology Staff Team, Chair; BSAG - UGA Business Services Advisory Group; RADG - UGA Research Account Discussion Group.Supervise business office employees and oversee tasks.Ensure that administrative functions meet the school's goals and comply with applicable university, state and federal regulations.

Human Resources: This position oversees the School's human resource functions and personnel matters including annual salary administration.

Specific duties include but are not limited to:

  • Oversight in Recruiting and hiring processes, including defining positions, preparing job descriptions, advertising; preparing offer letters.
  • Staff annual performance evaluations and ensuring equitable salary administration.
  • Serve as a resource for faculty and staff to resolve employee relations problems.
  • Supervise all VISA and visitor requests.
  • Provide back-up to HR Liaison.
