Orthopedic Surgery Education Manager
Administrative Associate 3- Supervisor, 7208A3

The Education Manager is responsible for managing, planning, and implementing educational programs and their respective policies for the Department of Orthopedic Surgery. The education manager is responsible for the administrative management and co- leadership with education physician leaders and administrators for all education programs within the department of Orthopedic Surgery. This position will be performed in a hybrid work environment. Work is performed in a planned split between on-site and remote locations. The supervisor will determine the appropriate balance that meets the needs of the department and the other priorities for workplace flexibility.

Education Administrative Duties- 70%

Management of the Education Office

  • Work closely with the SAC Education Manager to communicate University policy and procedures related to department educational activities.
  • Manage and lead bi-weekly educational meetings with the education team.
  • Supervision of Residency Coordinator, Medical Student Coordinator and other education staff including: coordinating work activities, setting individual and program goals that align with overall department priorities and strategies, ensuring efficiency of completion of office responsibilities, performance reviews and professional development of staff.
  • Partners with department leadership to ensure education work aligns with the overall strategies established by the department and supports departmental priorities.
  • Management of education team meetings with timely and pertinent presentation of topics affecting medical student, resident or fellow education.
  • Oversee reporting of issues and concerns to the Department Administrator and physician leadership of the education program.
  • Partners with the Vice Chair of Education to ensure compliant, respectful, well-managed, responsive educational programs for fellows, residents, medical students and faculty.

Administrative Leadership, Policy Development and Accreditation Compliance

  • Provide educational consulting and guidance to GME programs; collaborate with peers to develop effective policies/process for GME programs.
    • Oversee implementation of new policies, process and initiatives within the department's education programs.
    • Solicit feedback from stakeholders for continuous improvement.
  • Serve as a subject matter expert on medical education for policy development and accreditation compliance.
  • Develop internal standards, policies, and procedures to enhance education programs.
  • Management of Education Programs:
    • Fellowships: Adult Reconstructive, Spine, Hand, Trauma, Sports Medicine, and International One-World.
      • Provide guidance and interpretation of ACGME requirements for adult reconstructive, sports and hand fellowship coordinators.
      • Provide guidance for non-ACGME requirements for other orthopedic fellowships within the department, including subspecialty requirements
      • Liaison GME office requirements for ACGME and non-ACGME accredited fellowships.
      • Review fellowship funding and rotation protocols
      • Partner with SAC education manager and accounting team to review budgets and FTEs.
      • MOU collaborations with fellowships as needed.
      • Support for the Fellowship Council of Fellowship Program Directors
    • Medical Students:
      • Design, management and evaluation of medical student electives.
      • Represent the department at the Clinical Education Committee (CEC) meetings.
      • Partner with clerkship directors to align curriculum with medical school and LCME requirements.
      • Interpret and implement new and changing institutional and LCME requirements.
      • Oversee Medical Student administration
    • Residency:
      • Review residency program curriculum and complete ongoing curriculum mapping in partnership with the Vice Chair of Education and Residency Program Director.
      • Ongoing management and review and optimization of evaluation systems (medical knowledge, patient care) etc.
      • Analyze the educational performance of the residency program, including collecting, interpreting and presenting data including but not exclusive to ACGME case logs, ABOS KSB program compliance, ACGGME accreditation issues.
      • Interpret new and changing institutional and ACGME requirements.
      • Represent the department at University GME meetings and committees.
    • Continuing Professional Development
      • Oversight of the weekly Orthopedic Surgery Grand Rounds.
        • Ensure ongoing accreditation and compliance with guidelines/requirements.
      • Oversight of the monthly Athletic Medicine Grand Rounds.
        • Ensure ongoing accreditation and compliance with guidelines/requirements.
      • Explore other Continuing Medical Education opportunities for the department e.g. Mini Medical School.

Program Development (10%)

  • Development and coordination of various evaluation and assessment tools.
  • Oversight for collection, data entry and reporting.
    • Monitor trends in medical/surgical education and advise on improvements.
  • Oversight for semi-annual Milestone meetings of the CCC (Clinical Competency Committee).
  • Oversight of annual medical student evaluation report with medical student coordinator.
  • Prepare annual residency program report.
  • Prepare for and participation as member of Program Evaluation Committee (PEC).
  • Conduct annual program evaluations.

Financial Duties- 10%
Management of GME Operating Budget and Funding

  • Reviews, approves and evaluates spending.
    • Meet quarterly with Chair, Finance administrators and Department Administrator to collaborate on budgeting targets and compliance are reached.
  • Book and education fund (quarterly reporting).
  • Oversight learner duty hours and FTE budgeting in collaboration with the SAC Education Manager and MMCGME.

Manage Educational Grant Process

  • Research availability of grants for education.
  • Manage education grants for fellowships.
  • Manage educational grants for the department.
    • Includes all aspects of the program.
    • Includes all aspects of management process/expenses/closure.

Strategic Priorities-10%
Department Strategic Plan Support

  • Initiate and implement department's education programs strategic and operational plans to support and enhance the academic and community mission of the department.
  • Partner with senior leaders to make recommendations for strategic planning and set priorities for the best use of program resources to meet accreditation standards.
    • Develop, in partnership with Vice Chair for Education, education metrics to measure effectiveness of residency, fellowship and medical student programs.
  • Prepare reports for distribution at department meetings.
Qualifications

Required Qualifications

  • BA/BS plus at least 4 years of experience or a combination of related education and work experience to equal eight years. (Significant recognition in field may be considered as some type of substitution). Evidence of skills and successful accomplishments in areas similar to specific job responsibilities.
  • Experience directly supervising staff or leading large projects.
  • Experience working in Graduate Medical Education (GME).
  • Demonstrated experience in overseeing administrative workflow of an education program.
  • Demonstrated experience in program/learner evaluation or curriculum development.
  • Problem solving skills working towards innovative solutions and decision making.
  • Excellent written and verbal communication.

  • Advanced technical and analytical skills
  • Experience in customer service and managing relationships with multiple stakeholders

Pay and Benefits

Pay Range: $38.46-$43.27 an hour ($80,000-$90,000 annually); depending on education/qualifications/experience
