Position Summary

EBI Consulting is seeking a friendly and personable Office Services Coordinator to join us in our corporate office. If you are highly organized, set priorities, complete work with accuracy and exhibit professionalism, poise and flexibility while working in an office environment, we want to speak with you. The ideal candidate will have excellent communication skills, the ability to take initiative, and prioritize daily tasks, and truly enjoy helping others while being a part of a team.

This is a non-exempt position and will report to Human Resources. The ideal candidate will be based near our Burlington, MA corporate headquarters and excited about working in an office environment.

Essential Duties and Responsibilities



  • Greet visitors, answer phone line, direct calls to appropriate person/department
  • Open, sort, scan and distribute mail, incoming faxes, emails, and other correspondences to appropriate person/department
  • Order, stock and maintain all supplies for corporate office
  • Organize/order monthly lunches for corporate office
  • Assist with meeting and events
  • Order business cards/nameplates for employees/Create ID badges
  • Provide admin support as needed
  • Assist with onboarding - create accounts for shipping, travel and office supplies for new hires
  • Manage and be the point of contact for our Certificates of Insurance
  • Coordinate facilities and building related tasks such as landscaping, HVAC, Roof and Gutter maintenance, Security/Alarm/Fire Protection, etc.
  • Handle general maintenance, repairs and clean-up
  • Work with our legal team with Certificates of Authority
  • Assist with Environmental Data Resource (EDR) orders
  • Develop and maintain a filing system
  • Submit and reconcile expense reports
  • Maintain contact lists
  • Book travel arrangements
  • Handle sensitive information in a confidential manner
  • Data Entry
  • Ad hoc assignments as needed



Qualifications and Capabilities



  • Bachelor's Degree preferred, Associates Degree required
  • Minimum of 1-2 years of office experience preferred
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Demonstrated resourcefulness, teamwork, and anticipates needs
  • Proficient in MS Office
