What this job involves - The Workplace Experience Manager is responsible for providing event support and services for the Thousand Oaks site. This position would act as a single point of contact as part of the IFM team, responsible for coordinating, delivering, and working with others to manage event services and meeting logistics. The Service Manager role would own the meeting/event from inception to completion in coordination and support of Catering, AV/IT and Security. Additionally, this position will provide facilities support including building inspections, work order creation, vendor engagement, and field walks.This is a 100% on-site position.

What is the day to day?

  • Customer service interface for all events at the Thousand Oaks site.
  • Support/generate work request (via Maximo and/or CrowdComfort)
  • For computerize systems, support/generate tickets to IS/IT
  • Meet with the client, define their role requirements and lead the effort to coordinate with all stakeholders
  • Spearhead weekly meetings to go over events for the week and upcoming events to ensure no Event misses
  • Assist with developing the scope for the meeting or event
  • Partner with catering and others to identify the best location
  • Work closely with Security for site, building and parking access as well as drop off locations as needed
  • Engage the Client with our Help Desk and Scheduler to enter and develop facility work orders
  • Coordination with internal and external vendor (Furniture arrangement, food services, janitorial services, etc.)
  • Work with JLL Facilities to cover maintenance, repairs or requests in support of a ready state
  • Ensure no conflicts using our Site events calendar, Meeting room Calendars, and IFM Work Order Reports
  • Attend meetings as needed in support of the meeting or event
  • On the day of the event, act as single point person
  • Perform job walk to ensure the event is set up correctly and meeting expectations
  • Meet with key stakeholders to confirm meeting or event is set and provide best point of contact to keep open line of communication while meeting or event is taking place
  • As POC during time of meeting/event, this role will support:
    • Issue management during the events or meeting
    • Daily walks to ensure each day of the meeting or event is in a ready state
    • Participate in the execution of the daily events to ensure we stay on schedule and address or support issues or needs as they arise
    • Field all calls, emails, texts
    • Escalations as required
    • Support cleanup as needed
  • Assist the Facility Managers in the delivery of services to operate and maintain the property including customer/client services, financial management, facility maintenance, procurement, and supplier management
  • Develop client relationships with key representatives in supporting client's goals and objectives
  • Maintain client satisfaction with delivery of Facility Management services and support programs to increase customer satisfaction
  • Demonstrate strong collaboration and teamwork within the account team, by including driving the development and implementation of IFM best practices and innovations
  • Coordinate events across the campus
  • Negotiate space and conflicts with clients and partners
  • Assist with misc. site logistics/coordination for parking, entry requirements, and general site info to be shared with client lead and meeting attendees
  • Manage Site Events Calendar, coordination, and approvals to ensure no conflicts across the ATO site
  • Meet, greet, and walk with requestor for event planning
  • Follow-up and provide status updates to requestor
  • Ensure area/room are reset after event is completed
  • All other duties assigned

Desired experience and technical skills -
Required

  • High school diploma or GED equivalent
  • Experience working in a regulated work environment
  • Competent in use of Microsoft Office computer applications
  • Excellent customer service, team player who builds and maintains relationships
  • Excellent coordination skills especially with multiple vendors and services
  • Ability to diagnosis problems, make sound decisions, prioritize, schedule and complete multiple tasks

Preferred

  • Previous experience in hospitality or events industry for large company events

Work Environment

  • The employee must regularly push/pull up to 10 pounds, frequently push/pull up to 10 - 25 pounds
  • Staff will perform a mixture of computer work and physical work (walking, moving furniture, etc.)

Estimated total compensation for this position:

55,000.00 - 80,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
