Add to favorites Favorited View favorites Pay Grade/Pay Range: Minimum: $18.32 - Midpoint: $21.97 (Hourly N4) Department/Organization: 219101 - University Libraries Normal Work Schedule: Monday - Friday 8:00am to 4:45pm Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc. Additional Department Summary: Assists the Associate Dean in handling all personnel concerns of faculty in UA Libraries. Acts as the liaison with many other offices on campus such as payroll, OAA, HR input, Benefits, and employment. Supports search committees for faculty recruitment by requesting references, creating itineraries, making travel arrangements and handling logistics for the committee chairs. Assists the Associate Dean with evaluation and tenure/promotion documentation. Maintains personnel files and records for all faculty. Helps with special projects such as United Way as the needs arise. Serves as the backup to the Dean's Executive Secretary and provides support to the Associate Deans and other members of the Administration. Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate's degree or higher. Skills and Knowledge: Exceptional verbal and written communication skills. Excellent time management, organization, and analytical skills. Strong public relation and interpersonal skills and attention to details. Ability to develop and maintain a system of organization and filing and flexibility while handling numerous projects concurrently. Advanced knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook. Ability to maintain confidentiality at all times. Preferred Qualifications: Associate's Degree or bachelor's degree. Experience assisting with recruitment processes, handling personnel files, or being responsible for maintaining a large quantity of organizational files.
