POSITION SUMMARY

The Receptionist/Administrative Assistant plays a vital role in creating a professional, welcoming first impression for all visitors, customers, vendors, and employees. This position is responsible for managing front desk operations, including visitor registration through the iLobby system, answering incoming calls using the Mitel multi-line phone system and web interface, managing badge distribution, handling mail and deliveries, and supporting a customer-focused environment.

Additionally, this role provides administrative support to the Human Resources team and contributes to department initiatives, communications, and events. Due to the nature of the work, this position requires the utmost discretion, attention to detail, and a high level of confidentiality.

ESSENTIAL JOB FUNCTIONS

Receptionist Responsibilities

  • Greet and register visitors using the FacilityOS system and notify employees of their arrival.
  • Serve as the first point of contact for employees, vendors, and customers.
  • Answer and route calls via the Mitel multi-line phone system and web interface.
  • Manage ID badge distribution and collection.
  • Sign for incoming deliveries and prepare outgoing overnight packages.
  • Open, sort, and distribute mail; ensure accurate postage application.
  • Track company vehicle usage and manage the car key check-in/check-out.
  • Maintain supply inventory for the HR department and front desk area.
  • Monitor the front entrance and report any maintenance or security concerns.



Administrative Responsibilities

  • Audit insurance invoices for accuracy and prepare for payment processing by Accounting.
  • Draft and distribute company-wide email communications, and must be comfortable composing clear, professional messages on behalf of Human Resources or leadership.
  • Prepare new hire and benefits packets for use during onboarding by the HR team.
  • Prepare and distribute birthday cards and gifts using monthly reports.
  • Scan and electronically file HR documentation.
  • Assist with company-sponsored events and HR initiatives.
  • Complete special projects and assignments from the HR team.
  • Maintain regular and punctual attendance.



REQUIRED SKILLS AND EXPERIENCE

  • High school diploma or equivalent required.
  • Minimum of two (2) years of office or receptionist experience.
  • Experience with a multi-line phone system and office equipment (copier, fax, scanner, mail meter).
  • Proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint).
  • Friendly and professional demeanor with strong customer service skills.
  • Strong organizational skills with the ability to handle frequent interruptions and reprioritize as needed.
  • Ability to work independently and under pressure.
  • Excellent communication skills, both verbal and written.
  • Ability to handle confidential information with discretion.
  • Demonstrated flexibility and openness to change; willing to adjust responsibilities and priorities based on evolving departmental needs.
