Description

Reporting to the Director of Inpatient Services, you will provide administrative, onboarding and supervisory support to staff, hospitalist and palliative care providers for Santa Monica Hospital, Community hospitals, California Rehab, nursing homes, LTACS, Preop Clinics wherever the UCLA hospitalists render care.

Major Duties include but are not limited to:

  • Oversee and provide administrative supervision to the support staff and makes certain that the detail and accuracy of scheduling of post discharge follow up appointments, for all medicine patients (geriatrics, cardiology, gastroenterology, oncology, are met while ensuring that the standards that are set forth by the Department of Medicine quality team are met.
  • Oversight of Palliative care scheduling team and makes certain that all authorizations are obtained and that appointments are scheduled appropriately with the palliative care providers.
  • Make certain that the staff are uploading all history and physicals and discharge summary timely from community sites and routing the medical records to appropriated physicians, ensuring that the discharge incentive program for discharge summaries is up to date and documented timely.
  • Oversee the staff responsible for input of the IM bills from the community hospitalist and Nephrologists, transferring, extract and uploading data to the UCLA billing department.
  • Ensure that the Hospitalist and community phone lines (Calls from community hospitals regarding patient care issues, staff pages hospitalist at hospital direction for any care related issues) are answered timely and that staff page the appropriate hospitalist for patient related issues.
  • Oversight of home health orders, death certificates, creating on call calendars for emergency rooms, nursing homes, or any related service that does not have access to UCLA calendars.
  • Request medical records for all medicine requests from physicians, NP's etc. and upload to Care Connect
  • Oversee the analysts that is are responsible for the Daily census which entails compiling all patient census data in all hospitals for senior leadership. This includes Barlow, CRI, Community hospitals and SMH and RR.
  • Reporting of the weekly SNF Numbers, Night Triage log and historical graphs that provides historical information for past years.
  • Oversight of Direct admissions for any of the Department of Medicine physicians to Santa Monica Hospital, including urgent same day admissions, future chemo admissions and desensitization admissions.
  • Accountable for the answering service that covers after hours phone lines, for any trouble shooting issues when physicians are not responding to pages, especially after hours.
Salary Range: $83,800 - $179,400/annually
Qualifications

Required:

* Skills in analyzing information, problems, situations and procedures to define objectives, identify patterns and formulate conclusions.

* Skill in setting priorities which accurately reflect the relative importance of job responsibilities.

* Demonstrated ability to work effectively with the public in a health care setting, and to interact diplomatically and sympathetically with patients in varying degrees of health, and their families, in a high volume, continuous public contact setting.

* Demonstrated effective supervisory skills including experience in recruitment, performance appraisal, identification and communication of expectations, discipline, and training.

* Skill in operating a personal computer including working knowledge of software programs, including MS Word, and Excel Spreadsheet.

* Interpersonal skills to promote a cooperative and productive work environment and to establish and maintain cooperative, productive working relationships with faculty, residents, medical students and staff from various social, cultural, and economic backgrounds.

* Working knowledge of medical terminology.

* Writing skills to prepare accurate and concise reports and memorandums that clearly convey information utilizing appropriate vocabulary and grammar.

* Working knowledge of computerized appointment scheduling and registration system and the ability to effectively train staff in the use of the system.

* Working knowledge of University and Hospital policies and procedures to appropriately manage patient registration, cashiering, risk management, and personnel.

* Ability to triage patient issues to achieve resolution.

Preferred:

* Working knowledge of SM Hospitalists and Multi-Specialty outpatient clinic operations, medical terminology, and technical aspects services being provided in the Center and throughout UCLA.
