Role and Responsibilities:


We are seeking a proactive and organized Administrative Assistant to join our team. In this role, you will be essential in providing administrative support to ensure the smooth operation and overall efficiency of the department's daily activities.



  • Perform administrative tasks to support the department's daily operations.

  • Adhere to all organizational policies, practices, and standards to maintain efficiency and compliance.

  • Provide administrative support during the security clearance process for applicants and new hires.

  • Compile and prepare correspondence while maintaining confidentiality of sensitive documents.

  • Perform data entry tasks, assist with payroll processing, and audit monthly expense reports for submission to corporate accounting.

  • Manage daily scheduling, track work assignments, and coordinate special projects and events.

  • Support team recognition initiatives and organize meetings, conferences, and travel arrangements.

  • Manage team calendars, emails, and phone communications, ensuring efficient organization of both physical and electronic records.

  • Order and manage office supplies and handle incoming and outgoing mail and packages.

  • Ensure a welcoming environment for all and uphold the organization's mission, values, and code of conduct in all interactions.

  • Maintain confidentiality and professionalism when handling sensitive information.

  • Respond to inquiries from program participants, employees, clients, and vendors promptly, prioritizing urgent matters.

  • Support branding and communication efforts, including social media and promotional materials.

  • Comply with all local, state, and federal regulations, as well as organizational policies and standards.


Qualifications:



  • Proven experience in an administrative support or similar role.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office productivity tools.

  • Excellent organizational skills with the ability to prioritize and manage multiple tasks.

  • Strong communication skills, both written and verbal.

  • Ability to handle sensitive information with confidentiality and discretion.

  • Strong attention to detail and ability to meet deadlines.


Preferred Skills:



  • Experience in an administrative assistant role in a government setting.

  • Familiarity with scheduling software and project management tools.

  • Experience with branding and communication efforts, including social media management and promotional materials.

  • Familiarity with payroll processing and expense report auditing is a plus.


Physical & Environmental Demands:



  • Ability to sit or stand for extended periods during work hours.

  • Occasional lifting of office supplies and documents (up to 15 pounds).

  • Work is typically performed in an office environment with moderate noise levels.

  • Ability to manage multiple priorities and perform under pressure during peak times.

  • Occasional travel may be required for off-site meetings or events.
