Description

PURPOSE:

This role will assist with the organization and running of the daily administrative and business operations of the Part 145 Repair Station, which primarily includes: work order management, reconciliation of estimates and actuals, and billing. This role may also include responsibilities such as: retrieving parts, processing incoming parts into their correct storage location, delivering parts to designated aircraft work stations or personnel, and assisting mechanics with any work order discrepancies. The ideal candidate will be a hard-working professional, able to undertake a variety of office support tasks while working diligently, with little or no supervision. This role requires a very detail oriented, self-motivated, team player, with excellent communication and interpersonal skills.

DUTIES AND RESPONSIBILITIES:

Administrative Support (Primary):



  • Effectively communicate and coordinate with internal and external stakeholders in support of Repair Station business operations.
  • Research, analyze, interpret, and summarize data and reports for deficiencies and errors.
  • Manage, track, and process work order life cycle from start to finish.
  • Coordinate and manage customer invoices in a timely and efficient manner, processing credit card payments, and tracking wires/ach payments as needed.
  • Collaborate to create and maintain SOPs.
  • Maintain digital and hard copy filing systems as required by program objectives.
  • Professionally and accurately communicate with customers by phone and email.
  • Collaborate to compose and distribute memos, emails, invoices, reports, and other correspondence.
  • Coordinate with leadership to support and disseminate meeting minutes and capture discussions/decisions.
  • Coordinate various office support services, including facilities management.
  • Ensure the facilities maintain a high level of organization and cleanliness in support of customer visits.
  • Courteously greet visitors, handle their inquiries, and direct/escort them to the appropriate staff.
  • Effectively operate common office equipment such as computers, scanners, printers, etc.
  • Other duties as assigned.


Production Support (Secondary) :



  • Picking, labeling, and delivering parts per the pick ticket and company policy.
  • Recognize and prioritize any critical tasks that would affect company productivity.
  • Process incoming parts into their correct bin locations.
  • Monitor/assist any employees that come to the stockroom counter.
  • Ensure that the stockroom maintains a high level of organization and cleanliness.
  • Constantly audit and inspect the stockroom confirming compliance with company policy and applicable regulations.
  • Perform and assist in inventory cycle counts.
  • Other duties as assigned.


Qualifications

REQUIRED QUALIFICATIONS:



  • Proficient in the use of all Microsoft office suite products.
  • Familiarity with utilizing a variety of general office equipment.
  • Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation.
  • Excellent organizational skills, ability to prioritize, and comfortable working independently.
  • Outstanding attention to detail.
  • Ability to carefully listen, follow detailed instructions, and adhere to SOPs.
  • Must be able to accurately type 50 wpm.
  • High School Diploma or equivalent, plus five (5) years of general clerical, program support, or accounting experience in a professional office environment.
  • Driven, self-starter with strong time management skills.
  • Must be able to take initiative and meet deadlines given.
  • Must be able to work effectively with frequent interruptions and changes in priorities.
  • Strong problem-solving skills and analytical abilities.
  • Must be able to keep confidentiality in all aspects of information.
  • Ability to establish and maintain good working relationships with both coworkers and customers.
  • If required, be available to work on days, evenings, weekends, nights, or holidays.



PREFERRED QUALIFICATIONS:



  • 2 years of customer relations experience.
  • 2 years of accounting, invoicing, business operations, or similar, experience.
  • 2 years of aviation experience.
  • 7 years of relevant experience in an administrative office environment.
  • Ability to type 55 wpm with 100% accuracy.
  • Knowledge of Inventory Control and experience using Inventory Management Software.
  • Undergraduate Degree.


SCHEDULE:



  • This is a full-time, onsite position. Days are Monday through Friday and hours may vary as needed between 7am - 5pm.
  • If required, availability evenings, weekends or holidays.


PHYSICAL REQUIREMENTS:



  • Though this is largely a sedentary role, minor lifting (up to 50lbs) may be required. This would require the ability to lift files and office supplies.
  • Pushing or pulling objects, reaching overhead, stooping, or kneeling as needed for filing, taking inventory, and stocking.
  • Must be able to continuously operate a computer and other office equipment.
  • Must be comfortable with working in and around an aviation facility.
  • Must be able to sit the majority of shift if required.
  • Must be able to withstand prolonged periods of standing or walking if required.


WORKING CONDITIONS:



  • Work will be conducted primarily in an office environment. However, interaction in and around the Aviation facility will be necessary.
  • The role is occasionally exposed to fumes or airborne particles from Aircraft and/or components.
