POSITION SUMMARY

The Food and Beverage Administrative Assistant must be highly organized and detail-oriented to support our Food & Beverage department . This position plays a vital role in the smooth day-to-day operation of the department. From coordinating vendor relationships to managing menu updates and inventory, your work will directly contribute to the efficiency and success of our food and beverage programs. This is a part-time year-round opportunity, compensated at $20.00 - $24.00/hour.

ESSENTIAL DUTIES
  • Enter and reconcile vendor invoices accurately
  • Assist with end-of-month inventory counts and enter inventory data
  • Maintain positive relationships with vendors and suppliers
  • Set up appointments with vendors and follow up to ensure completion of services
  • Coordinate and book travel arrangements, including flights and ground transportation
  • Update and manage point-of-sale systems
  • Place food and beverage orders in coordination with department leads
  • Update and print food labels, menus, and promotional marketing materials
  • Submit marketing and promotional requests for food and beverage events
  • Coordinate internal employee events
  • Order restaurant decor and general supplies in a timely manner for upcoming events, while adhering to budget
  • Ensure the department's events calendar is current and organized
  • Manage restaurant specific social media accounts in accordance with company expectations and social media policies
  • Communicate IT updates
  • Actively participate in required online and in-person trainings and meetings, while adhering to applicable deadlines.
  • Additional duties as assigned


EDUCATION & EXPERIENCE REQUIREMENTS

Education:
  • High School Diploma, or equivalent, required


Experience:
  • F&B operations experience, preferred
  • Previous administrative experience, preferred


QUALIFICATIONS, KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS
  • Food Allergen Safety Certification
  • Valid Driver's License
  • Proficiency with Microsoft Office and POS systems
  • Ability to manage multiple tasks and deadlines independently
  • Detail-oriented with a high level of accuracy
  • Exceptional interpersonal, verbal and written communication skills
  • Creative problem-solving skills, and willingness to adapt


TRAVEL REQUIREMENTS
  • Occasional travel for recruiting events or vendor meetings may be required
  • This position may require the ability to work in various locations on resort


PHYSICAL DEMANDS AND WORKING CONDITIONS
  • This position may be required to work evenings and holidays.
  • Ability to lift and carry at least 20 pounds on a regular basis.
