Job Description

Job Title: HR & Benefits Administrator
Location: Houston, TX (onsite)
Reports To: Sr. Director of Benefits & Compensation

Job Summary:

The HR & Benefits Administrator plays a key role in supporting the employee lifecycle, with a focus on benefits administration, onboarding, compliance, and employee support. This role serves as a central point of contact for benefits-related matters, manages onboarding and leave processes, supports system maintenance and audits, and contributes to the overall effectiveness of HR operations. The ideal candidate is detail-oriented, responsive, and comfortable working with confidential data and cross-functional teams.

Key Responsibilities:



  • Serve as the primary point of contact for employees with benefits-related inquiries, delivering timely and accurate support.
  • Conduct new hire onboarding, including HR orientation and benefits presentations.
  • Complete onboarding tasks in the HRIS, maintain accurate employee records, and process I-9 verifications through E-Verify.
  • Administer all benefit programs, including enrollments, terminations, life event changes, and employee communications.
  • Guide employees on benefits eligibility, coverage, and plan provisions throughout the year and during open enrollment.
  • Manage benefit-related communications and assist in maintaining and implementing benefit systems.
  • Lead the open enrollment process, including planning, communications, system updates, and employee support.
  • Monitor enrollment deadlines, verify documentation, and audit benefit transactions for accuracy and compliance.
  • Compile and maintain benefit records including unpaid premiums, evidence of insurability, and medical support orders.
  • Reconcile monthly vendor invoices and resolve billing discrepancies to ensure accurate payment and recordkeeping.
  • Work with vendors and internal stakeholders to resolve claims and benefit-related concerns.
  • Manage all aspects of employee leave, including FMLA and unpaid leave, coordinate with third-party leave administrators, and support return-to-work processes.
  • Maintain proactive audit and reporting procedures to ensure benefits and HR programs are compliant with company policies and regulatory requirements (e.g., ERISA, ACA, HIPAA, FMLA).
  • Manage the HR inbox, triage employee inquiries, and direct requests appropriately.
  • Support payroll with benefit deductions, leave tracking, and employee data updates.
  • Participate in HR projects, system implementations, and cross-functional initiatives as assigned.
  • Perform other duties and special projects as assigned by management to support overall HR and business objectives.


Qualifications:



  • Bachelor's or Associate's degree in Human Resources, Business Administration, or a related field preferred. Equivalent relevant work experience will be considered in lieu of a degree.
  • A minimum of 3 years of experience providing administrative support within Human Resources, with a strong emphasis on benefits administration and HR systems, is required.


Skills and Competencies:



  • Strong interpersonal and communication skills, both verbal and written.
  • High degree of patience with the ability to identify and troubleshoot potential problems.
  • Proficient with current workplace technology, including Microsoft Office Suite and HRIS platforms (e.g., ADP, UKG, Workday).
  • Ability to manage sensitive and confidential issues with discretion and professionalism.
  • Detail-oriented with strong organizational, time management, and prioritization skills.
  • Flexible and able to work under tight deadlines in a dynamic environment.
  • Team player with a collaborative mindset and a proactive approach to problem-solving.


Preferred Qualifications:



  • HR or benefits certification (e.g., PHR, SHRM-CP, CEBS) is a plus.
  • Experience with ADP Workforce Now strongly preferred.
  • Experience supporting a multi-location or multi-state workforce.
