Summary of Position/Purpose:

We are seeking a highly experienced and dependable Executive Assistant to provide high-level administrative support to senior leadership in a fast-paced, high-volume environment. This role requires exceptional organizational skills, a proactive mindset, and the ability to manage multiple priorities with precision and discretion. The ideal candidate is a strategic partner, thrives under pressure, and brings a strong track record of success supporting executive-level leaders.

Essential Duties, Functions and/or Responsibilities:



  • Provide dedicated administrative support to executive leadership, including calendar management, travel arrangements, meeting coordination, and expense reporting
  • Proactively manage executive schedules, ensuring efficient time management and prioritization of critical matters
  • Prepare, proofread, and edit correspondence, presentations, reports, and other confidential documents
  • Serve as a liaison between executives and internal/external stakeholders, demonstrating professionalism and confidentiality at all times
  • Coordinate logistics for internal and external meetings, including team off-sites, board meetings, and vendor interactions
  • Manage incoming communications, including emails and calls, prioritizing and responding on behalf of executives when appropriate
  • Maintain accurate records and filing systems, both electronic and physical
  • Support project tracking, timelines, and deliverables across cross-functional teams
  • Anticipate the needs of the executive and provide solutions before issues arise
  • Handle confidential and time-sensitive information with the highest degree of integrity
  • Indirectly responsible for product quality
  • Other duties as assigned


Qualifications

Education and/or Work Experience Requirements:



  • 5+ years of experience as an Executive Assistant, supporting senior-level executives is required
  • Proven ability to work in a high-volume, fast-paced environment with shifting priorities
  • Exceptional written and verbal communication skills
  • Highly organized, detail-oriented, and able to manage multiple tasks and deadlines simultaneously
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Teams, Zoom, etc.)
  • Demonstrated ability to exercise good judgment and discretion in handling confidential information
  • Self-starter with a proactive approach and strong problem-solving skills
  • High degree of professionalism and polished interpersonal skills
  • Ability to work independently and as part of a team
  • Familiarity with supply chain workflows or high-volume distribution center operations is desirable
  • Comfortable interfacing with internal and external executives, clients, and vendors
  • Background managing Board meeting preparations and calendars is a must
  • Technologically savvy with the ability to quickly accommodate to new applications and tools


Physical Requirements:



  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
