This senior administrative support position performs a wide variety of administrative, analytical, and financial management duties to support the
CCAS Associate Dean for Graduate Studies (
ADGS) and the Office of Graduate Studies (
OGS). It is the highest administrative support position that is not reporting directly to a Vice President or a Dean.
Duties and responsibilities of the position include:
- Managing the ADGS's calendar, travel, and meetings with students, faculty, staff, and others.
- Supporting the CCAS Graduate Studies Committee (GSC) by scheduling monthly meetings, preparing meeting agenda and minutes of meetings, and assisting the GSC chair.
- Maintaining files on CCAS graduate policies and decisions, administrative and historical records, and other similar documentation.
- Drafting staff and office communications and routine correspondence.
- Conducting research, gathering and analyzing data, preparing documentation for the ADGS's meetings, speaking engagements, administrative functions, and publication of reports and memorandum.
- Collaborating with finance staff in preparation of office budget, forecasts, and detailed account analysis and tracking of trends.
- Processing the reconciliation and submission of expense reports for the ADGS and the entire OGS and reimbursements through Concur.
- Providing monthly financial reports to the ADGS.
- Identifying gaps in business processes and procedures, and supporting the development of internal financial and budget management policies, processes, and procedures to enhance information flow and maintain accurate records for the division.
- Providing biannual reports to departments and graduate programs on available funding in CCAS endowments for graduate student awards.
- Coordinating annual dean's award competitions, including dissertation completion fellowships, graduate instructorships, conference travel grants, endowment awards, and campus visit reimbursements.
- Coordinating Courseleaf and Bulletin processes for new and revised courses and programs, updates to admissions requirements, and college academic policy changes.
- Planning, developing, and implementing events, projects, and initiatives, including annual luncheon for graduate program directors and Bouchet Graduate Honor Society and Minority-Serving Institution Award-related events.

Minimum Qualifications: |
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. |

Preferred Qualifications: |
- Demonstrated experience providing high-level administrative support, including managing calendars, coordinating meetings and events, and handling sensitive communications in a professional environment.
- Proficiency with financial and administrative systems, such as expense reconciliation, budget tracking, and processing reimbursements using tools like Concur, EAS, or similar platforms.
- Strong organizational, written, and analytical skills, with the ability to draft reports and correspondence, support committee operations, and manage multiple priorities independently and accurately.
