Scope of Work:

The Executive Assistant will provide high-level administrative support to the CEO and other senior staff.

Responsibilities:
  • Provide comprehensive administrative assistance to the CEO including organizing schedules, coordinating meetings, tracking projects while ensuring that those projects stay on track, manage communications, prioritizing requests, and handling multiple inquiries for the CEO's time.
  • Demonstrate discretion and confidentiality in handling sensitive information for the CEO and executive staff.
  • Manage a wide range of complex and confidential tasks, including scheduling, travel arrangements, correspondence, and investigative research, ensuring confidentiality and accuracy.
  • Demonstrate exceptional prioritization skills in handling conflicting needs, proactively addressing issues, and ensuring successful project completion.
  • Carefully reviewing documents creating redline edits for the CEO, maintaining meticulous attention to detail, and ensuring accuracy in documents and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Quickly adapt to organizational processes, policies, and procedures, showcasing strong learning abilities.
  • Maintained and updated highly sensitive and confidential company information with a high level of professionalism.
  • Adhere to company policies, procedures, and safety regulations.
  • Consistently produces quality products and service.
  • Completes all training within required timeline.
  • Performs all work in a safe and secure manner.
  • Performs other duties as assigned.
Minimum Requirements:
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Able to type minimum of 50 words per minute.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • High school diploma required, bachelor's degree in business administration or related field preferred.
  • At least four years of related experience required.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Must maintain licenses and/or credentials required for this position.
  • Ability to speak, read, and write English.
  • Must possess the ability to interact well with others in a team setting ability or alone and be able to change jobs on short notice.
  • Must be capable of working under tight time constraints in a high-volume environment with multiple priorities.
  • Highly motivated, flexible organized and must be detail oriented.
  • Strong customer service and interpersonal skills.
  • Must be able to maintain ability to access government worksite.
  • Must be able to work alternate and extended shift schedules when necessary to meet the customer's mission requirements, including weekends and holidays.
  • Must be able to perform on-call duties when necessary and report to work within the required timeframe from notification.
  • Must have and maintain a valid state driver's license to operate a company vehicle.
  • Must have a safe driving record, as defined by Company policy, to operate a company vehicle.
  • Must be able to successfully complete a drug/alcohol test and a criminal record check.
