THE POSITION

This position allows you to utilize your extensive legal knowledge as you serve as the Prothonotary, providing administrative support and supervision duties while ensuring office operations are conducted efficiently and effectively. DESCRIPTION OF WORK

As a Legal Office Administrator 1, you will be responsible for supervising staff and managing the Bureau of Professional and Occupational Affairs (BPOA) hearing processes. Work involves scheduling, cancelling, or rescheduling all hearings within the Hearing Examiner's Office as well as preparing notices of hearings. You will be responsible for opening original legal case files, maintaining a docket to include every pleading that is filed in connection with each case, and evaluating pleadings to determine what course of action is appropriate. You will also have the opportunity to approve daily electronic filings from the BPOA Legal Office to the docket in the database after assessing the completeness and accuracy of the filings. Additional responsibilities include:

  • Ensuring court reporters are assigned to all formal hearings and notifying the court reporting agency of any changes or cancellations
  • Drafting routine orders and general correspondence for the hearing examiners including hearing notices, letters establishing a pre-hearing conference, letters establishing briefing schedules, and orders granting continuances
  • Certifying documents upon request
  • Training new and temporary employees
  • Answering the main telephone, transferring calls, taking messages, and handling walk-in filings from the public

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:30 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time, after 6 months of employment. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Two years of varied office management or staff work within a public or private legal office.

Additional Requirements:

  • You must have one or more years of supervisory experience.
  • You must be able to perform essential job functions.

Preferred Qualifications (not required):

  • Familiarity with cloud based systems
