Position Summary:

The Assistant Facility Manager is a multifaceted role responsible for supporting the day-to-day operations of the client facility, while also managing select office services and acting as a key liaison between internal teams, building management, and vendors. This role serves as a backup to the Facility Manager and supervises the Mail Services Assistant (MSA) onsite. The ideal candidate is proactive, detail-oriented, and customer-focused, with the ability to manage multiple priorities and contribute to a well-functioning, professional environment.


Key Responsibilities:
Facility & Office Management:


  • Serve as primary point of contact in the absence of the Facility Manager.



  • Perform daily walkthroughs, inspecting facility areas (carpets, floors, walls, lighting, ceiling tiles) to ensure cleanliness, safety, and maintenance.



  • Identify and report issues; coordinate repairs and follow up with building management and vendors.



  • Manage inventory of office supplies and ensure meeting rooms and break areas are stocked and functional.



  • Support configuration and setup of meeting spaces as needed.



  • Coordinate with vendors for maintenance, repairs, invoicing, and billing resolutions.




Mail & Shipping Supervision:


  • Supervise and support the Mail Services Assistant (MSA); act as backup in their absence.



  • Ensure timely sorting and delivery of incoming mail and packages in accordance with client and TMG SLAs and SOPs.



  • Oversee the delivery, receipt, and organization of all accountable packages and team-requested shipments.



  • Maintain knowledge of postal regulations and ensure mailroom operations comply with standards.




Reporting & Project Support:


  • Collect data and assist in the preparation of monthly reports.



  • Support and lead internal facility-related projects for the client as assigned.



  • Research and execute tasks with minimal direction; present findings and recommendations clearly and on time.



  • Maintain flexibility in work hours to support business needs and events.




Qualifications:


  • Bachelor's degree or equivalent work experience required.



  • Minimum of 5-7 years of experience in office services, office management, or facilities.



  • Facility management certifications a plus (e.g., FMP, IFMA, OSHA-related).



  • Proficiency in Microsoft Office Suite and general computer systems.



  • Excellent written and verbal communication skills.



  • Strong organizational and multitasking abilities.



  • Ability to work both independently and as part of a team.



  • Must be assertive, self-motivated, and solution-oriented.



  • Demonstrated professionalism and a customer-first mindset.



  • Knowledge of postal operations and shipping procedures (FedEx, UPS, USPS).



  • Able to manage multiple variables, troubleshoot issues, and resolve them effectively.
