Position Summary: The Office Services & Facilities Associate supports a wide range of operational tasks across corporate offices, ensuring the functionality, safety, and preparedness of meeting spaces, office furniture, event setups, and mail services. This hands-on role requires strong attention to detail, physical stamina, and a service-oriented mindset. The ideal candidate will be flexible, reliable, and able to juggle multiple priorities while maintaining a high level of professionalism. Key Responsibilities: Event & Meeting Support:
- Set up and break down all events, including furniture movement, table configurations, pipe and drape installation/removal, and electrical cord configuration.
- Support all internal meetings with setup/breakdown, including chair and table movement between floors.
- Assist with off-site event logistics, such as company picnics and department celebrations.
Office Moves & Desk Setups:
- Manage employee desk moves, including monitor, docking station, cable, and phone relocation.
- Set up new hire workstations with nameplate, chair, trash can, and monitor mount (IT provides docking station, computer, and cables).
- Complete monitor adjustments, swaps, chair swaps, and minor furniture reconfigurations.
- Assemble and install furniture and office items as needed.
- Install conference room tablet enclosures and set/replace clocks and batteries.
Facilities Support & Maintenance:
- Remove/install patio furniture and cover for winter protection.
- Manage e-waste collection and trash/pallet removal.
- Replace atrium artwork, banners, and cinema chairs.
- Operate scissor lift for high-mounted item replacement.
- Assist with electrical troubleshooting for sit/stand desks and minor outages.
- Supervise and sign in/out external vendors.
- Schedule and manage company van service appointments.
Mailroom & Delivery Services:
- Receive, sort, and distribute incoming mail and packages.
- Prepare and send outgoing shipments; schedule courier pickups.
- Maintain accurate mailroom activity logs and delivery records.
- Handle urgent and special delivery requests, including event gift deliveries.
- Support inter-office deliveries between company locations (equipment, furniture, etc.).
Administrative & Scheduling:
- Maintain the GWS support calendar and respond to incoming service requests.
- Conduct walkthroughs with clients ahead of scheduled events or meetings.
- Assist with administrative tasks as assigned by leadership.
Qualifications:
- High school diploma or equivalent required.
- Minimum of 1 year of experience in shipping, receiving, or facilities support preferred.
- Ability to lift up to 50 pounds and perform physically demanding tasks.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
- Strong customer service orientation; professional and approachable demeanor.
- Proven ability to handle multiple projects with close attention to detail.
- Reliable, punctual, and self-motivated with a strong work ethic.
- Comfortable driving between Ft. Lauderdale and Miami offices as needed (travel flexibility required).
- Experience with scissor lift operation and basic electrical troubleshooting is a plus.
