Position Summary:

The Mail Services Associate Lead is responsible for overseeing and performing daily mail center operations, including the handling, sorting, delivery, and shipment of materials. This lead role combines hands-on execution with leadership responsibilities to ensure timely and accurate mail services, while maintaining high levels of customer service and operational compliance.

Key Responsibilities:

Mail Handling & Distribution:



  • Receive, review, log, and process incoming mail and packages.
  • Sort and categorize materials according to established methods.
  • Pick up and deliver materials across departments, ensuring timely and accurate distribution.
  • Deliver office supplies, copy paper, and other items as needed.
  • Inspect all deliveries for suspicious or hazardous contents, following safety protocols.
  • Prepare and process outbound shipments using carrier systems (e.g., UPS, FedEx).
  • Operate mail or hand carts to transport materials safely.


Administrative & Reporting:



  • Enter data into tracking logs and maintain accurate records of daily activities.
  • Process service requests and work orders using appropriate systems.
  • Monitor and manage mailroom supplies and report inventory needs.


Team Support & Leadership:



  • Lead by example and support team members in daily mail center functions.
  • Provide training and cross-training to staff as needed.
  • Step in to perform duties in other roles during absences or as directed by management.
  • Ensure all activities are completed in compliance with safety and operational procedures.


Qualifications:



  • High school diploma or equivalent (GED) required.
  • 2-5 years of experience in mail services or office services preferred.
  • 1-3 years of experience using Microsoft Office (Excel, Word, Outlook).
  • Excellent verbal and written communication skills.
  • Strong customer service orientation with a "can-do" attitude.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High attention to detail and strong organizational skills.
  • Able to lift up to 50 pounds and operate mail handling equipment.
