Position Summary:

The Mailroom Services Associate is responsible for managing the daily operations of inbound and outbound mail, courier shipments, and asset receiving processes. This position requires excellent attention to detail, strong customer service skills, and the ability to handle multiple tasks in a fast-paced environment. The associate also ensures proper mail scanning, tracking, and documentation while supporting broader office operations.


Key Responsibilities:
Mail & Shipping Operations:


  • Prepare outbound courier shipments using computer systems or third-party providers (FedEx, UPS, USPS, etc.).



  • Work the service window during core business hours (8:00 AM - 5:00 PM).



  • Scan all incoming mail into the Document Management System (DMS).



  • Control and track all inbound/outbound accountable mail and packages.



  • Weigh packages and determine accurate postage for shipping.



  • Sort, process, and distribute incoming and outgoing mail and parcels.



  • Maintain mail logs and delivery records accurately and consistently.



  • Perform all asset receiving and documentation duties.




Safety & Compliance:


  • Scan all incoming packages for dangerous goods using RaySecure or equivalent equipment.



  • Ensure compliance with safe mail handling procedures and security protocols.



  • Notify Facilities of any maintenance or repair needs using ServiceNow or applicable tools.




Customer Service & Office Support:


  • Provide excellent customer service to employees and visitors.



  • Order and maintain mailroom office supplies and monitor inventory levels.



  • Maintain a clean, safe, and organized mailroom environment.



  • Support office service functions and perform other duties as assigned.




Qualifications:


  • High school diploma or equivalent required.



  • Minimum of 1 year of customer service and office-related experience preferred.



  • Minimum of 1 year of mailroom, shipping, or receiving experience preferred.



  • Proficiency with Microsoft Office (Outlook, Excel, Word); basic PC and keyboarding skills.



  • Strong written and verbal communication skills.



  • Ability to manage multiple projects simultaneously.



  • Familiarity with safe mail processes preferred.



  • Attention to detail and strong organizational skills.



  • Ability to lift up to 30 lbs and perform physical tasks as required.



  • Must meet company attendance and punctuality standards.
