E2 Optics, an award-winning woman-owned technology integrator, is looking for a Corporate Operations Specialist professional to manage administrative tasks and provide operational support. The Corporate Operations Specialist is a multifaceted business professional who provides comprehensive administrative and operational support. Key responsibilities include managing procurement processes-such as material purchases, subcontractor services, credit card and Amazon purchases-and coordinating travel logistics, including flights, lodging, and transportation. This role also involves creating and managing new project setups and supporting broader corporate and branch-level initiatives. The Specialist serves as a liaison for procedural inquiries and may assist in drafting communications and collaborating with other Corporate Operations staff to ensure efficient and effective workflow.

What You'll Do:
  • Administrative Operations: Utilize internal systems including ticketing platforms and cloud-based tools to manage and prioritize daily tasks effectively. Maintain consistent workstation presence during business hours to monitor, process, and manage service requests in a timely and efficient manner.
  • Procurement and Project Management Support: Create and maintain purchase orders and project entries in line with established company procedures. Manage Amazon purchase requests, including tracking and resolving issues to ensure accurate and timely delivery.
  • Expense and Credit Card Management: Process and verify credit card requests, accurately record transactions, and ensure timely and complete reimbursement documentation.
  • Travel Coordination: Arrange domestic and/or international travel for employees, including flights, lodging, and transportation, ensuring all bookings comply with company policies and employee preferences.
  • Process Improvement: Continuously evaluate and recommend improvements to current workflows and systems, supporting the implementation of new processes that enhance accuracy and efficiency.
  • Special Projects and Issue Resolution: Support departmental or organizational goals by taking on special projects as assigned. Actively troubleshoot and resolve issues or escalate when necessary to ensure minimal disruption.
What We're Looking For:
  • Education:
  • High School Diploma required; Associate degree or relevant experience preferred.
  • Experience:
  • Minimum of 2 years of experience in operations support, administrative support, or related role.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Experience coordinating day-to-day operational tasks, vendor communications, or project support activities is preferred.
  • Familiarity with procurement processes, scheduling, or travel coordination is a plus.

WORK ENVIRONMENT & PHYSICAL DEMANDS: The standard work environment for this position is an indoors business office and construction environment. Ability to use a computer and/or hand tools while sitting or standing for extended periods of time. The noise level in the work environment is usually moderate. While performing the duties of this job, the employee is regularly required to sit, talk or hear, use hands, stoop, kneel, bend, rotate, push, pull, reach with hands and arms on intermittent to regular basis daily. The employee is frequently required to stand and walk. The employee must regularly lift and/or move up to 50 pounds and frequently lift and/or move up to 25 pounds. The employee must regularly carry and climb ladders to 20 feet. The employee may be required to work in tight, confided spaces. The employee must demonstrate regular and on-time attendance. There could be a requirement of occasional travel by conventional means including aircraft, motor vehicle and the like within the region and to other locations as required.
