Position Summary:

The Office of Special Events at Cardozo School of Law organizes over 1400 events/year. The team currently produces and coordinates law school events such as meetings, luncheons, student parties, conferences, and Board functions. Simultaneously, the Office of Student Services and Advising serves over 1000 students while seeking to build community with student organizations and provide support for individual students. We are seeking a coordinator for the Office of Special Events and the Office of Student Services and Advising to assist both teams with day-to-day operations and student-facing needs. This team member should be able to work with Microsoft Excel and have good writing and communication skills, being particularly responsive to and engaging with student inquiries. Interest in event planning and higher education is a plus. The Coordinator will regularly perform responsibilities for each office on a schedule to be determined by the department directors, as well as focus on long-term initiatives (Orientation, Commencement, final exam administration) for both offices at various points during the academic year.

Position Responsibilities:
|
- Provide managerial guidance and support to a wide range of events and activities, including meetings, luncheons, student parties, conferences, Board functions, high-profile speakers, receptions, dinners, and Commencement, through extensive interaction with vendors, students, faculty, staff, and alumni.
- Correspond with all catering vendors, overseeing catering orders and deliveries, tracking catering requisitions, processing invoices, and managing supplies and inventory.
- Interface with numerous students and members of the faculty and administration, as well as outside vendors.
- Assist with approximately 1100 events per year.
- Recommend new opportunities for student programming, including community-building events, including school-wide welcome-back event, study breaks, mental wellness programming, halfway to Graduation, final exam tabling, etc.
- Implement new programming and provide administrative support to directors of all departments within the Division of Student Services, including the Office of the Dean of Students, the Office of Student Life, the Office of Diversity & Inclusion, and Academic Success.
- Coordinate across offices to address student needs as they relate to both the Office of Student Services and the Office of Special Events.
- Maintain records to assess the success of events.
- Direct facilities staff and management to ensure that event floor plans and setups are complete and accurate.
- Work with vendors to manage deliveries.
- Develop and distribute communication materials in partnership with event sponsors, including faculty, staff, and administrative departments.
- Review periodicals and mailings to identify relevant information for the Dean, Director, and students.
- Manage inventories of events and office supplies.
- Develop fluency in exam-related software and other systems, including Examsoft and 25Live.
- Prepare materials for law school exams and participate in exam administration.
- Manage scheduling for the Student Services office, including the appointment system on behalf of the Dean of Students and Directors.
The coordinator will interface with numerous students, administrators, and faculty, as well as with multiple vendors. The Coordinator must exercise good judgment and empathy, especially when assisting students who are dealing with challenging circumstances and may be under emotional distress.

Experience & Educational Background:
|
- Bachelors Degree and at least 2 years related experience required.
- Experience in an Academic Environment preferred: 1+ years.
- Event planning experience preferred 1+ years.

Skills & Competencies:
|
- Excellent verbal and written communication skills required.
- Proficiency in Microsoft Office Suite.
