About the opportunity

SWCA Environmental Consultants is seeking a dynamic Operations Administrator to support our Sheridan, WY Office and Rocky Mountain Plains Sub-Region. Our offices offer a unique culture and work environment, and our teams specialize in Natural Resources, Cultural Resources, Paleontological Resources,Planning, Permitting, Restoration, and GIS Services. This is a regular, salaried, full-time position based in our Sheridan, WY Office.

The Operations Administrator may manage other administrative/logistics staff and oversee administrative operations in our Sheridan, WY office. Additionally, the Operations Administrator may oversee other administrator staff and support administrative operations within other offices in our Rocky Mountain Plain Sub-Region, including offices in Denver, CO; Fort Collins, CO; and, Minneapolis, MN. This career opportunity requires people management, time management, and customer service abilities to be successful in this role.

The Operations Administrator will directly lead and manage an administrative staff and indirectly support a team of more than 50 field and office staff in the realms of safety, logistics, employee support, equipment management, expense reconciliation, and vendor management.

What you will accomplish

  • Lead the administrative functions of the offices by managing current processes and identifying and implementing new processes where needed. Identify and solve problems in an effective manner.
  • Manage and mentor other office administrators providing guidance and support to achieve departmental and organizational goals.
  • Work with corporate People Services and Payroll to support employee changes and exits as needed to support supervisors in each office.
  • Oversee the office new hire onboarding processes and liaise with the Talent Acquisition team to ensure smooth onboarding practices.
  • Collaborate regularly with SWCA's corporate office (HR, Payroll, IT, Marketing, Safety, and Accounting) in Phoenix, AZ to ensure the accuracy and timely processing of all business transactions.
  • Coordinate monthly expense reporting, and track office expenditures to report to the Office Director.
  • Facilitate asset management, including company owned and rented vehicles, field equipment, and computers and peripherals and manage related billing.
  • Partner with our Technology Team to support ongoing employee software and hardware equipment needs.
  • Coordinate and oversee meetings and events including volunteer outreach, ESOP, holiday celebrations, and other employee engagement activities.
  • Arrange travel for senior management, facilitate scheduling of shared space.
  • Manage logistics for more complex/complicated field efforts.
  • Oversee the physical office in Sheridan, WY and communications with our landlords and service providers (e.g., janitorial, parking, etc.) to ensure office spaces meet working environment standards.
  • Oversee health and safety compliance tasks performed by the office administrator. Complete bi-monthly auditing and oversee the Office Safety Representatives.

Experience and qualifications for success

  • Five (5) years previous experience in a similar role, including direct supervision of team members.
  • Outstanding, service-oriented people skills.
  • Demonstrated experience using independent decision making and business judgement.
  • Bachelor's degree or Associates degree
  • Strong computer skills with demonstrated proficiency with Microsoft Office applications including Word, Excel, Outlook, SharePoint, and Teams, as well as time and project management software such as Deltek Vision.
  • Excellent written and verbal communication, with the ability to represent company externally and internally in a positive and professional manner.
  • Ability to work independently, be proactive, solve problems, and take initiative; but also, be highly collaborative and team oriented.
  • Willingness to jump into various types of tasks and learn new things to support our team as needs arise.

An employee in this Sheridan, WY office - based position can expect a salary of $58,978.40 to $72,332.00/year. Actual pay within this range may depend on experience, qualifications, geographic location, client requirements where applicable, and other factors permitted by law. Regular-status employees are also eligible for performance bonuses.
