The Sales Operations Specialist plays a pivotal support role that strengthens day-to-day business development execution. Acting as the central hub for data integrity, reporting, and process coordination, this role equips senior leadership, technical sales teams, and Business Development Managers (BDMs) with timely insights that drive accountability and revenue growth. Although the position does not carry direct decision-making authority, its analyses and observations directly influence resource allocation, pipeline health, and proposal outcomes.

Essential Duties & Responsibilities

CRM Stewardship & Pipeline Integrity

*Manage all CRM data inputs and enforce data hygiene standards.
*Cross check the sales pipeline, reviewing Project Notice Reports (PNRs) for completeness and accuracy.
*Monitor process compliance and flag gaps or bottlenecks to leadership.

KPI & Reporting

*Develop and publish sales KPI dashboards and ad hoc reports for senior leadership.
*Partner with leadership to refine KPI targets as team goals evolve.
*Compile commission eligible revenue data and input into pay systems.

Sales & Opportunity Support

*Serve as the primary liaison among opportunity aggregators, BDMs, and technical sales teams to ensure smooth handoffs and stakeholder alignment.
*Track sales cycle milestones and surface at risk opportunities.

Proposal Process Coordination

*Log, assign project numbers, and maintain proposal records for consistency.
*Monitor milestones, send deadline reminders, and escalate "emergency" proposals.
*Verify final submission requirements and archive documentation.

Go/No Go & Capacity Analysis

*Collect inputs for operational go/no go reviews and prepare periodic summaries for budgeting, staffing, and planning decisions.

Meeting & Event Support

*Prepare agendas, slide decks, and follow up actions for weekly BD meetings.
*Track industry conferences, evaluate ROI, and capture insights to guide future attendance decisions.

Requirements

Minimum Qualifications:

  • Education:Bachelor's degree in Business, Marketing, Finance, or a related field (equivalent experience considered).
  • Experience:1-3years in sales operations, sales support, or CRM administration-preferably within a B2B environment.
  • Systems:Hands on expertise with a modern CRM platform (Salesforce, HubSpot, Microsoft Dynamics, or similar) and proficiency in Excel or BI/reporting tools.

Preferred Qualifications:

  • Experience creating automated KPI dashboards or leveraging BI tools (PowerBI, Tableau).
  • Familiarity with proposal management software or RFQ/RFP workflows.
  • Exposure to commission calculation or sales compensation platforms.

Desired Skills:

  • Exceptional attention to detail and data accuracy.
  • Ability to convert raw data into concise, executive ready insights.
  • Strong organizational and time management skills; comfortable juggling multiple deadlines.
  • Clear written and verbal communication; able to coordinate across functions without formal authority.

Work Environment

This position is a management role with on-call responsibilities for emergency response situations, meaning employees will work in the Stow, Ohio office and remotely as needed for projects. Schedules are based on the role and the team's needs.

% of travel time: 5-10% for occasional meetings, conferences, regional office visits.
