To function as primary client pre-registration consultant to develop effective web and technology solutions. Own the entire event life cycle from start to finish- from gathering requirements to post-event clean up. Manage the day-to-day activities of projects; communicate with project team; and work directly with clients to achieve their strategic goals. Manages the overall coordination and execution of registration components within the constraints of project costs, time and scope.
Primary Responsibilities 50% REGISTRATION MANAGEMENT: Independently interfaces with day-to-day client contact, acting as the main point of contact for external clients and internal event teams. Manages multiple projects to ensure client goals are met. Handles a portfolio of moderate complexity, including client relationships, project timelines, feature sets, dependencies, and launches. Maintains proactive communication between clients and internal teams to ensure expectations and satisfaction. Works closely with application developers and quality assurance to exceed client requirements. Understands current business and technology practices to design solutions and integrate future products. Schedules production jobs for ticket and credential production, collation, and mailings. Collaborates with onsite services for successful execution. Participates in project meetings and provides input to stakeholders. Maintains action items for support teams and ensures deadlines are met. 25% SHOW DELIVERABLES/SYSTEM DEVELOPMENT: Gathers and documents the requirements/specifications for registration sites, defines clients reporting needs and assists with scheduled reports and/or training. Updates system with accurate and timely deliverables to facilitate timeline management. Set up and configure websites according to business requirements, ensuring optimal performance and user experience. Work closely with application developers to customize web applications, integrating new features and functionalities. Tests the sites for functionality, proofs content and responds to any client questions/exceptions from the sites. Maintain the accuracy and consistency of data across all platforms, implementing best practices for data management and security. 25%CROSS FUNCTIONAL COLLABORATION/CONSULTATION: Collaborate with clients to understand their business challenges and objectives. Define project requirements, prioritize objectives, and develop strategies by analyzing risks and recommending solutions. Prepare and maintain documentation, including status reports and procedural guides, to ensure transparency. Coordinate with cross-functional teams for seamless procurement, accurate billing, and timely post-event analysis. Facilitate communication across departments to ensure alignment and successful outcomes. This role may require worldwide travel for client site inspections and program operations. During emergencies, provide guidance and leadership to ensure the safety of clients, participants, and employees by implementing crisis procedures. Qualifications 1. Bachelor's degree or equivalent work experience. 2. 2+ years of registration experience. Preferred Maritz registration experience or in association registration. 3. Basic understanding of HTML 4. Proficient in Microsoft Office products including Outlook, Word and Excel 5. Professional oral and written communication skills required 6. Strong customer service skills with the ability to multitask. 7.Optional travel to onsite events may be 10-15%.
