A BRIEF OVERVIEW The Customer Accounts Specialist plays a key role in delivering an exceptional customer experience by managing order entry, contract review, and order fulfillment activities with precision and efficiency. This role serves as a critical liaison between customers and internal teams-ensuring timely and accurate data entry, maintaining audit-ready documentation, and proactively managing orders to meet customer expectations. With a strong focus on quality, compliance, and communication, the Customer Accounts Specialist supports seamless execution across the order lifecycle and contributes to business performance through effective collaboration, issue escalation, and continuous process alignment.
WHAT YOU WILL DO
- CUSTOMER SUCCESS
- Build relationships with internal and external customers to optimize the customer experience and deliver positive business results
- Partner with Orchid's supply chain team to drive order volume and fulfillment
- Identify and escalate issues impacting order accuracy, customer satisfaction, or delivery performance in a timely manner through defined escalation channels
- ORDER ENTRY
- Submit new and updated customer information to update the customer master database
- Enter new Purchase Orders (P.O.s) into ERP systems in alignment with defined standards of work and documentation protocols
- Ensure accurate and timely entry of all customer data and transactions to support downstream operations and financial accuracy
- Upon completion of contract review and scheduling, confirm acknowledgement date with supply team and acknowledge P.O. to customer
- Coordinate supplier change requests internally and with customers
- CONTRACT REVIEW
- Follow standard of work to view new P.O.s that have been entered
- Review P.O.s against key terms such as price, revision, specifications, and bill-of-materials; where discrepancies occur, prepare relevant packages for quoting, engineering, and quality teams
- Follow standard of work to complete packages and move them to the next step in the process to ensure timely acknowledgement of P.O.
- Maintain accurate, audit-ready records of P.O. reviews and related documentation in accordance with Quality Management System (QMS) requirements
- ORDER MANAGEMENT
- Review open order report regularly to understand orders in the system by customer and compare to customer forecast, where applicable
- Monitor backlog and delivery schedules to ensure alignment with customer expectations and internal capacity
- CUSTOMER CONTACT
- Provide timely and accurate information on order status
- Request orders to meet customer forecast
- Request to pull-in / push-out orders dependent upon capacity
- Update demand according to Vendor Managed Inventory (VMI)
- Support quoting processes
- QUALITY AND COMPLIANCE
- Lead quality and compliance by complying with all Quality Management System (QMS) documentation requirements
- Establish and support actions that contribute to meeting/exceeding Key Performance Indicators (KPIs) for Safety, Compliance, Six Sigma Quality, On-Time Delivery (OTD), and financial objectives
- Advocate for the health and safety of self, co-workers, customers, and the community
EDUCATION QUALIFICATIONS
- High School Or Equivalent (Required)
EXPERIENCE QUALIFICATIONS
- 1+ Year Prior Work Experience (Required)
- 2+ Years of Experience in a Manufacturing Environment (Preferred)
