Overview

ABOUT THE POSITION

VHB is seeking a detail-oriented and proactive HR Coordinator to join our People + Culture team. Under general supervision, this role provides essential administrative support across a wide range of HR functions-from maintaining employee records and generating reports to supporting onboarding and HR systems. This position is ideal for someone who enjoys working behind the scenes to keep things running smoothly, thrives in a fast-paced environment, and handles sensitive information with the utmost discretion.

Key Responsibilities

General Administrative Support

    Provide confidential, timely, and efficient administrative support to the People + Culture leadership team.
  • Manage HR-related expense reports and prepare a variety of documents including spreadsheets, presentations, and communications.
  • Coordinate meetings, events, and training sessions.
  • Support employee inquiries related to HR policies, programs, and procedures.
  • Assist with department-wide initiatives that enhance the employee experience.
  • Conduct research on HR-related topics and support ongoing projects.

HR Systems & Reporting

  • Maintain accurate and up-to-date employee records in the HRIS and related platforms.
  • Process employee status changes and audit biweekly timesheets.
  • Prepare standard reports (e.g., headcount, turnover, anniversaries, engagement results) and respond to internal data requests.
  • Support documentation for promotions, transfers, and compensation actions.
  • Collaborate with Payroll to coordinate bonuses and annual review cycle logistics.
  • Update and maintain HR content on the company intranet.

Employee Lifecycle Support

  • Coordinate onboarding workflows, training assignments, and new hire documentation.
  • Support the offboarding process by managing departure logistics and coordinating across departments.
  • Process employment verifications and assist with leave-of-absence and furlough activities in partnership with Benefits.

Minimum Qualifications

  • 4-6 years of administrative experience, preferably within HR or in support of senior-level staff.
  • Associate's or Bachelor's degree in Human Resources or related field preferred.
  • Proven ability to handle confidential information with integrity.

Skills & Attributes

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience with HRIS platforms strongly preferred.
  • Excellent written, verbal, and interpersonal communication skills.
  • Highly organized, self-motivated, and detail-oriented.
  • Adaptable, team-oriented, and able to manage multiple priorities in a deadline-driven environment.

Work Environment

Requires ability to work in a busy office environment with significant phone and computer use.
