As an Administrative Assistant, you will support two members of Alcon's Vision Care Leadership Team (VCLT) - Head of Contact Lens Marketing and Head of OTC Marketing. In this role, you will be trusted with a wide range of administrative and project management duties, which will require self-direction involving frequent interaction with senior levels within/outside the company and regular exposure to confidential data requiring discretion, tact, maturity, diplomacy, discretion, and good judgment. In this role you will work independently, with general guidance and refer unusually complex issues to the executives for resolution at our Fort Worth, TX location

Responsibilities will include:

  • Proactively managing supported VCLT member calendars.
  • Coordinating domestic and international travel arrangements.
  • Managing communications and correspondence on behalf of the leaders
  • Organizing meetings and conferences in an independent and proactive way.
  • Collecting and organizing large amounts of written and electronic information, producing drafts and final documents and correspondence, preparing meeting materials/arrangements, and expense reports.
  • Preparing and/or reviewing management presentations in Microsoft PowerPoint & Word.
  • Establishing and maintaining critical files.
  • Informing, advising, and supporting the VCLT members, colleagues, and associates from outside the team on processes, guidelines and services that are specific to the Alcon organizational needs.
  • Submitting/opening purchase orders for the Marketing Organization
  • Supporting other members of the VCLT Direct Team as back up when required.

WHAT YOU'LL BRING TO ALCON:

  • High School Diploma or equivalent
  • The ability to fluently read, write, understand, and communicate in English.

Preferred Qualifications:

  • Previous Administrative experience supporting Senior-Level executives and management
  • Experience coordinating heavy travel and related logistics; experience coordinating international travel, a plus
  • Experience with expense reporting and purchase orders
  • Experience with SAP and Concur applications/systems

Additional Job Information:

  • Work hours: Monday-Friday, 8:30 - 5:30 (periodically requires off hours for critical projects and unexpected travel emergencies)
  • Travel Requirements: less than 5%, if any
