Position Summary:
We have an exciting opportunity to join our team as a Program Supervisor.

We are seeking an enthusiastic and motivated Program Supervisor with a strong commitment to health disparities and community-engagement. Housed within the NYU Grossman School of Medicine Department of Population Health's Section for Health Equity, the Program Supervisor is responsible for coordinating research activities associated with studies on cardiovascular disease and diabetes designed to advance health equity in the South Asian community. Overall duties include coordination of communications and activities with study implementation sites and academic and community partners; program supervision, monitoring and reporting; development of research and training protocols, curricula, and products; maintenance of regulatory documents and IRB submissions; and meeting/event coordination. The Program Supervisor provides supervision of research support staff and interns and works under the general direction of the program Principal Investigator(s). The successful candidate will have a high degree of professional maturity, commitment to excellence, independence, flexibility, and initiative, and will possess the ability to work collaboratively with diverse individuals, teams, and populations both internally and externally. Reports to a Manager; works under general supervision.

Job Responsibilities:

  • Project/Program Coordination - Provides moderate to advanced coordination needed to initiate, run and conclude Project/Programs activities. Coordinates Project/Program agreements, purchase requisitions and invoice payments; and manages administrative tasks, including supplies/printing orders and mailings. Coordinates meetings, including preparing agendas, and sharing meeting minutes and action steps. Organizes and maintains project materials on internal and external shared drives. Coordinates schedules, activities and logistics/technology for virtual and in-person meetings/special events with academic and community partners, including outreach events, community listening sessions/forums, and the community advisory board. Assists in the recruitment, onboarding and training of community health workers, project assistants, trainees and interns/volunteers.
  • Research Coordination - Oversees the submission and maintenance of documents required by the NYU Institutional Review Board (IRB), NYU Office of Clinical Trials, Data Safety and Monitoring Board, and any other parties for conduct of human subjects research (e.g. coordination of study regulatory binders, enrollment logs, and consent documents). Researches issues and responds to requests for information as needed. Develops study evaluation tools and presentations for training and educational sessions. Coordinates communications and project/research activities at clinics, community sites, and study partner sites, including recruitment, consenting, data collection, and data requests/transfers. Assists with database development and maintenance; monitors data entry. Monitors progress towards completing project deliverables, meeting recruitment goals, and adherence to study timelines. Assists with development of research abstracts, manuscripts, conference presentations, and other products.
  • Protocol and Training Development - Develops project and staff protocols on implementation, evaluation, and training. Leads meetings/workgroups for the purpose of identifying and cataloguing community health worker best practices for inclusion in presentations and trainings. Develops protocols and processes for train-the-trainer mentorship and technical support with collaborating centers.
  • Supervision - Responsible for direct supervision of 3-6 research support and/or field staff. Provides guidance, training, and leadership to support and/or field staff. Develops plans and processes for staff monitoring, team building and effective communications. Performs staff evaluations and supports staff professional development.
  • Reporting / Grants Support - Prepares and reviews documents independently and generates status/progress reports for Project/Programs. Drafts letters, memos, agendas, presentations, and reports. Reviews, edits and obtains appropriate approvals. Responds to correspondence and refers complex issues with recommendations to manager/PI. Follows protocols as defined by the grant and institutional policies and procedures. Contributes to grants development and reporting. Collects, organizes, and coordinates scientific materials as appropriate.
  • Project Support - Provides guidance and training to research support/field staff. Reviews workflow and recommends improvement if applicable to ensure appropriate project timelines and efficiency.
  • Participates in special projects and performs other duties as required.

Minimum Qualifications:
To qualify you must have a Bachelor degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.

Preferred Qualifications:
Masters degree or equivalent in public health, sociology, psychology, health care administration, social work or closely-related field with minimum two (2) years of experience coordinating and implementing clinical and/or community-based projects or an equivalent combination of education and experience. Experience supervising staff members and working in collaborative environments. Strong understanding and knowledge base of coordination requirements associated with clinical/research trials. Competency using research-related software such as SPSS, NVivo, Dedoose, Endnote, and REDCap. Competency using Google Drive office suite (docs, slides, and sheets). Knowledge of electronic health record (EHR) systems. Proficiency in using social media platforms.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $64,350.00- $79,500.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
