Are you looking for a fantastic career at Aqua Water? We have an exciting opportunity for an Administrative Assistant in the Willow Grove, PA area!

ESSENTIAL DUTIES:

  • Answers phones, directs incoming mail, prepares outgoing mail, and orders department office supplies. Coordinates information between members of the team.
  • Assists in the accurate processing of all vendor invoices in the appropriate financial systems. Enters information accurately and in a timely manner meeting all DSIC and accounting closing deadlines and schedules.
  • Investigates and responds to inquiries. Communicates with customers, contractors, utility companies, municipal, county and state authorities as well as other internal departments. Relays emergencies and other important and technical information to field personnel and superintendents.
  • Answers all incoming inquiries for the permit desk.
  • Processes PennDOT invoices in SAP - Highway Occupancy and Permit Inspections
  • Prepares and tracks all main replacement and small holes permits (township, county, and state) for each SEPA division.
  • Responds to permitting issues and tracks permits maintaining open and effective lines of communication with PennDOT, county highway departments, and other township/borough officials pertaining to permit applications.
  • Assembles packet of sketch, plans, payment(check) and back-up documents, and submits to the townships and state for Main replacement permit applications.
  • Creates work orders in SAP for restorations and permits and calculates permit fees for each township.
  • Verifies weekly check request run in SAP for accuracy of activity numbers and submits corrections to the Accounts Payable department.
  • Receives and tracks all permits received from townships and state. Updates information in SAP.
  • Prepares memorandums, correspondence and reports using a variety of Microsoft applications including word processing, spreadsheets, email, and accesses databases as needed.
  • Operates a variety of systems, including Banner and Service Link to research customer and service order issues. Effectively creates, closes, and relays customer information to requesting personnel.
  • Performs other related administrative tasks as directed or as needed.

QUALIFICATIONS:

  • High School graduate or GED degree.
  • A minimum of three years administrative and/or technical experience.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to work independently
  • Strong computer skills in word processing, spreadsheet software and database software, and above average math skills.
  • Knowledge of Company policies and territory.
  • Excellent written and verbal communications skills; communicates effectively (clearly, concisely, and professionally) with internal/external customers
  • Strong customer service skills
  • Ability to work well under pressure
  • Ability to work on multiple projects simultaneously and adapt to changing priorities in a fast paced environment
  • A team player able to work effectively in a team fostered multi-tasking environment

WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Perform sedentary work- exerting up to 20 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time
