Overview

LMI is seeking an experienced and highly organized Fleet Manager / Travel Coordinator to support U.S. Customs and Border Protection (CBP) programs in the National Capital Region. Join our team of collaborative self-starters focused on delivering practical and efficient solutions to help our client keep U.S. borders safe and facilitate travel and trade. Coordinate and manage corporate vehicle leases in multiple locations across the U.S., as well as manage travel arrangements, trip reporting, and documentation for employees. The ideal candidate will ensure effective management of vehicle leases, track maintenance requirements, manage vehicle incident coordination and reporting, and provide exceptional support to employees. Additionally, this role involves providing end-to-end travel coordination for all employees in the program, including coordinating travel authorizations, assisting with expense reporting using the Deltek system, preparing trip report, and ensuring smooth travel operations across the program.

Responsibilities

Fleet Manager Responsibilities:

    Coordinate lease requirements for vehicle fleets, including acquiring, renewing, and terminating leases.
  • Manage the logistics of vehicle pickup and returns across multiple locations.
  • Track vehicle maintenance schedules and ensure compliance with maintenance requirements.
  • Administer fuel card programs, including distribution, monitoring, and reconciliation.
  • Provide comprehensive support to employees leasing company vehicles, addressing any issues or concerns to include vehicle incident management as required.
  • Maintain organized records of vehicle leases, maintenance logs, and related documentation.
  • Stay updated on industry trends and best practices in fleet management.
  • Perform other duties as assigned to support the efficiency of the fleet program.

Travel Coordinator Responsibilities:

  • Coordinate travel arrangements, documentation, and trip reports for employees.
  • Ensure travel requests and expense reports are properly approved, accurately entered, and paid in a timely manner.
  • Assist travelers with completing travel authorization requests and ensure compliance with company travel policies.
  • Provide support with expense reporting using the Deltek system, ensuring accuracy and timely submission.
  • Evaluate travel services, vendors, organizations, and activities on a regular basis to determine quality and quality improvement opportunities.
  • Investigate and resolve problems associated with the processing of travel requests and expense reports.
  • Rapid issue resolution using problem-solving skills.
  • Resolve travel emergencies.
  • Work with the Director(s) to use acquired knowledge to modify or enhance the travel program for employees.
  • Present travel and expense quarterly statistical, financial, and incident resolution information (monthly trends and year-over-year) to the Director.
  • Support employees as needed during issues with travel providers, agency services, vendors, or accommodations, documenting in ServiceNow.
  • Participate in industry associations, providing summaries of where advancements are leading and how LMI may take advantage of opportunities and other relevant information.
  • Maintain organized records of travel expenses and related documentation.
  • Perform other duties as assigned to support the efficiency of the travel coordination program.


Qualifications

  • Bachelor's degree in Business Administration, Logistics, Transportation Management, or a related field preferred.
  • Minimum of 2+ years of relevant experience.
  • Exceptional customer service, communication, and negotiation skills.
  • Well-organized and reliable.
  • An analytical mind with strong business acumen.
  • Proficiency with Microsoft Word and Excel, as well as general computer literacy.
  • Flexibility to work extended hours during busy travel times.
  • Strong knowledge of vehicle leasing processes and maintenance requirements.
  • Experience with fuel card programs and reconciliation.
  • Familiarity with travel authorization and expense reporting processes, preferably with experience using the Deltek system.
  • Excellent communication and interpersonal skills, with the ability to provide exceptional support to employees.

Preferred:

  • Diverse travel experience, travel institute certification, or work experience in the hospitality industry.
  • Government travel coordination experience or fleet management experience.

Targeted Salary Range: $60,000-$115,000 annually
