Job Summary

Under supervision of the Facilities Workflow Supervisor, work as a member of the Facilities Service Desk (FSD) Team assisting customers with facilities related concerns and providing one-on-one customer resolution over the telephone, email or other channels. As a member of the FSD team, the incumbent will work with a collaborative team of specialists and student staff members to provide initial facilities support to customer inquiries by researching policies and recommending and guiding customers through steps used to arrive at solutions. If unable to provide resolution, the incumbent will appropriately log and route the request based on priority to the appropriate group for completion. As needed, the incumbent will assist the facilities staff with additional research to determine the source of the problem and possible resolutions. Utilize an Asset Management System (AMS) to manage online service requests and maintain the fixed and moveable facilities equipment asset database, to include parts and tool inventories. This includes life cycle cost analysis for assets (planning, acquisition, deployment, operation, retirement). Also, assist with the development and on-going implementation of a facility condition assessment plan. Incumbent will also be responsible for tracking commissioning of new assets and preventive maintenance for current assets. Review and provide reports to SHDS Facilities Managers and Supervisors from the AMS that include overdue work tasks, overdue PM tasks, Asset Management reports, etc. Act as Departmental ATR (Area Telecommunications Representative) for the SHDS department; order new telecommunication services, request service moves and updates as needed.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Associate of Arts or Associate of Administration degree, or related field and/or equivalent experience or training.
  • Extensive experience and technical skills working with a large-scale Asset Management database and work order system to include maintaining standards and data quality.
  • Experience developing and effectively analyzing work task, asset management and inventory reports.
  • Experience developing operation procedures related to asset and inventory management.
  • Ability to evaluate technical and non-technical operations, recommended courses of action and conduct practical research related to facility maintenance and assigning work tasks to maintenance staff.
  • Ability to interact with customers, co-workers, and outside departments through written and verbal communication.
  • Ability and technical skills to analyze complex, large data sets using various software tools identify opportunities for increased efficiency.

  • Experience processing and prioritizing work requests.
  • Experience and interpersonal communication skills to exercise tact and diplomacy in dealing with others to secure necessary information and cooperation from individuals of varying backgrounds and perspective that enable the incumbent to conduct effective negotiations and resolve conflicts, including research skills to identify and validate organizational and business activities and programs.
  • Organizational, planning and time management skills to manage a diverse range of responsibilities with frequent interruptions under competing deadlines.
  • Skill to appropriately evaluate situations, make decisions and adjust priorities as necessary.
  • Skill to perform all assigned duties under minimal supervision.
  • Interpersonal communication skills, tact and diplomacy to clearly and effectively interact with individuals of diverse backgrounds and perspectives.
  • Ability to manage small to midsize projects.

SHDS is a self-supporting auxiliary that provides housing and dining services to approximately 15,000 undergraduate, graduate, and students with families who live in on-campus residential facilities (university owned/managed and Public-Private-Partnerships), as well as providing residential, retail, and catering dining services for the campus community. Facilities Services is one of six major units within the SHDS Department. Facilities Services oversees all of the daily maintenance, major maintenance, preventive maintenance, custodial services, capital projects, interior design, painting, and computer services for the department. SHDS facilities encompass approximately 2 million gross square feet of property that provides food and housing for over 6000 students and retail food venues for the campus.

Work Environment
