The Port of Portland is currently hiring for a Receptionist! As the Receptionist of the PDX Headquarters - you're the first impression of the Port of Portland and the conduit across every business line at the Port. From Aviation to Community Engagement to Engineering, you'll interact with leaders and teams that touch every corner of the airport experience. You'll coordinate assigned projects, manage calendars, and help visitors navigate their way through the HQ Building. Essential Job Duties
-
- Reception and Administrative Duties
- Greet guests at the 8th floor and direct them to the appropriate meeting organizer.
- Handle phone calls, take messages, and respond to general inquiries.
- Validate parking for guests and staff, and maintain a clean and organized lobby area.
- Administer Port or Portland Headquarters (HQ) and Visitor badges and manage conference room calendars for the HQ building.
- Support bid and proposal management processes as needed.
- Manage internal deliveries and pick-ups, covering Distribution Services duties when appropriate.
- Distribution Services
- Pick up, sort, and deliver internal and external correspondence at Port Headquarters, RCC Building, and all Port operations offices.
- Inspect received items for suspicious content and determine proper routing classification (priority delivery, special handling, etc.).
- Process outbound mail, parcels, and freight efficiently and accurately.
- Facilities Support
- Provide general support to HQ/RCC Facilities Manager and Assistant, including maintaining of Service Centers, conference rooms, storage areas, and other assigned tasks.
- Perform basic maintenance of multifunction copy machines and assist with P-Card contract administration.
- Assist Facilities Assistant with conference room setups and building walkthroughs to ensure safety protocols are followed and supplies are stocked.
- Administrative Support
- Coordinate with records managers and manage surplus sales of airport lost-and-found items and other Port assets that are no longer needed.
- Work with Finance on disposal requests and payment processing.

Minimum Qualifications
-
Education and Experience:
- High School Diploma is required.
- Minimum of six (6) months of relevant work experience or demonstrated customer service experience.
- Maintain a valid state drivers' license is required.
- Employees in this position must be required to successfully pass and maintain security clearance relevant to assigned duties such as SIDA (Security Identification Display Area), TWIC (Transportation Worker Identification Credential), CJIS (Criminal Justice Information Systems), etc.
- Forklift certification will be provided/required on the job; previous certification not required.
Demonstrated Skills & Knowledge:
- US Postal and packaging regulations and processes.
- UPS packaging regulations and processes including proprietary software.
- Use Microsoft Office Suite and basic computer programs.
- Customer service skills.
- Perform high volume of work with accuracy.
- High attention to detail.
- Perform basic math functions.
- Learn and apply a broad knowledge of administrative procedures and office operations.
- Forklift operation.
- Printer and copier fleet.

Selection Process: (tentative schedule):
- A minimum qualification evaluation of the education, training, and experience of submitted application packets will take place by Human Resources in the week of November 10, 2025.
- A Subject Matter Expert (SME) Panel will perform an evaluation of experience and training taken from your employment application materials.
- Our goal is to schedule virtual first round of interviews with candidates who successfully passed the SME evaluation on Monday, November 24.
