Job Summary

Follow established University and departmental procedures to perform detailed financial assignments in support of the Athletics Department.

  • Performs financial transactions, as needed, and provides general guidance to support staff to ensure transactions are in compliance with federal, state and/or University guidelines, policies, and procedures.
  • Serves as a primary University credit card user for the Athletics department; manages all related transactions, supporting documentation, and reconciliations to ensure compliance with procurement and audit standards.
  • Analyzes and reconciles monthly and ad hoc financial activity for the Athletics Business Office, including purchasing card transactions, vendor payments, travel expenses, petty cash, and departmental accounts. Reviews variances, identifies trends, and provides explanations and recommendations to management for corrective action or process improvement.
  • Analyzes and responds to financial inquiries from vendors, internal departments, and other stakeholders. Research complex account issues, interprets supporting financial data, identifies underlying causes of discrepancies or variances, and provides management with data-driven recommendations and solutions to improve financial accuracy and efficiency.
  • Reviews, analyzes, and processes a range of financial transactions including invoice payments, purchase orders, journal entries, expense transfers, and budget amendments. Ensures all transactions align with established budget plans and internal controls, verifies accuracy of financial data, and identifies trends or discrepancies for management review and corrective action.
  • Monitors and analyzes vendor accounts to ensure financial accuracy and timely payment activity. Reviews statements of account to reconcile balances, identifies trends or recurring issues, and collaborates with vendors and internal departments to resolve discrepancies and strengthen fiscal controls.
  • Assists the primary financial liaison between the Athletics Department and Procurement Services by supporting contract and purchasing workflows. Analyzes contract terms and financial impact, monitors approval stages to ensure alignment with budget projections, and maintains a comprehensive contract repository. Ensures all financial activities comply with University procurement policies, legal standards, and fiscal accountability requirements.
  • Enters and maintains financial and operational data in University systems, updates departmental logs, and ensures records are securely stored in accordance with retention policies.
  • Maintains up-to-date knowledge and compliance with State of Florida, University, NCAA, Conference USA, and department policies and procedures.
  • Performs additional fiscal or administrative tasks as assigned by supervisor and assist with special projects as needed. Responsibilities may evolve to meet the changing needs of the department and University.
  • Monitors and analyzes the department's asset inventory to ensure accurate valuation, accountability, and compliance with University and State reporting standards. Reviews purchasing and receiving activity for budget alignment, prepares asset reports for management review, and recommends process improvements to strengthen financial controls and safeguard departmental resources.
  • Adheres to all State of Florida, University, NCAA, Conference USA, and department rules and policies pertaining to the position of Financial Analyst. Reports any known NCAA violations or concerns to the Director of Athletic Compliance and be responsible for the monitoring of any subordinate as it relates to NCAA regulations.
  • Handles cash transactions as needed and serves as a petty cash custodian
  • Manage and process student financial requests, including those involving scholarships
