MARKETING COORDINATOR

Our Roanoke office is currently seeking a highly organized and energetic Marketing Coordinator to support the firm's marketing and business development efforts, with a primary focus on tradeshow and event coordination. This role plays a vital part in ensuring successful planning, execution, and follow-up of SFCS tradeshows, conferences, and marketing events across all offices. The ideal candidate will thrive in a fast-paced environment, enjoy managing details and logistics, and bring creativity and enthusiasm to the team.
This position's requirements are inclusive of, but not limited to, the following:
Qualifications:


  • Associate or bachelor's degree in marketing, communications, business administration, or a related field.
  • 1-3 years of experience in event, tradeshow, and conference planning. Marketing coordination and/or administrative support experience in the AEC industry is a plus.
  • Excellent organizational, communication, and multitasking skills.
  • Superior written, verbal, graphic design, content management and event advertising concepts.
  • Excellent organizational and proofreading skills.
  • Strong attention to detail with the ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook); familiarity with Adobe Creative Suite (InDesign, Photoshop, Acrobat) is preferred.
  • Experience coordinating event logistics, travel arrangements, vendor communication, and shipping.
  • Familiarity with CRM or Digital Asset Management (Open Asset) systems preferred.
  • Team-oriented attitude with a proactive approach and willingness to learn.


Duties and Responsibilities:


  • Coordinate the planning, logistics and execution of tradeshows, conferences, and firm-sponsored events across all offices; including but not limited to, registering SFCS attendees, booking hotel rooms, the shipment and return of appropriate tradeshow booth and supplies, renting furniture, etc.
  • Support the development of the annual conference calendar through research and feedback from prior years, ensuring all registrations, payments and deadlines are met.
  • Organizing communication with outside conference organizers, vendors, potential clients/leads.
  • Database (CRM) maintenance.
  • Coordinate travel and provide executive level administrative support to the business development and marketing teams while balancing multiple deadlines.
  • Oversee inventory and organization of marketing materials, displays, and promotional items; manage restocking and ordering as needed.
  • Collaborate with internal teams to prepare presentations, award and presentation boards, handouts, and branded materials for meetings and/or events.
  • Assist with other business development related projects such as client gifting, outreach, and any additional event planning needs.
  • Track event-related expenses and provide post-event summaries and metrics to evaluate ROI and participation.
  • Assist with editing, copywriting, and content creation for proposals, qualifications, presentations and marketing collateral.
  • Support the marketing team in maintaining brand consistency across all materials and platforms.
  • Help generate and schedule social media and website content related to tradeshows, conferences, and firm activities.
  • Maintain digital databases such as Open Asset and proposal libraries, ensuring information is accurate and up to date.
  • Assist with photography coordination for projects and events as needed.
  • Provide general administrative and logistical support to the marketing team.
  • Occasionally, administrative office support may be needed.
