Paid Time Off:

Eligible employees begin accruing PTO on their date of hire. PTO combines vacation and sick leave, starting at 15 days per year for full-time employees. UMC also follows Washington State Sick Leave guidelines, providing one hour of sick leave for every 40 hours worked.

Position Description

Starting Salary Range: $26 - $29/hour; depending on experience

Location: Lynnwood, WA

Classification: Non-Exempt

Must be eligible to work in the U.S. - Sponsorship not available

Position Overview:

Provides administrative support services to the Service Group. Job assignments can vary depending on priorities that day.

Key Responsibilities:

  1. Enter work orders into Viewpoint (accounting/dispatch system)
  2. Answer telephone and convey messages
  3. Update forms and lists as needed
  4. Maintain customer work order portals (Service Channel, Corrigo + others)
  5. Provide daily back-up to Dispatch/Operations as well as cover full time when they are on PTO
  6. Review completed quick response work orders for completeness and accuracy
  7. Generate, distribute & upload invoices for payment
  8. Review older open work orders & follow up with others to get them completed
  9. Help to follow up on past due invoices/inquiries
  10. Respond to customer general inquiries when submitted thru dispatch email
  11. Perform credit card payments
  12. Make phone calls to clients, vendors and subcontractors as needed.
  13. Set up new customers / sites in Viewpoint database
  14. Generate and update Field On Call 6 month schedule and update answering service
  15. Regular attendance and promptness are considered part of each employee's essential job functions.

Secondary Responsibilities:

  1. Enter & Issue Purchase Orders into Viewpoint from PO Log
  2. Backup Backflow testing record keeping & updating City portals & gauge calibration
Position Requirements

Required Skills and Abilities:

  1. Proficiency with MS Outlook, Excel, Word, PPT, and Project.
  2. Accuracy and efficiency with administrative and clerical procedures and best practices. including filing and records management systems.
  3. Professionalism and efficiency communicating on the phone and taking messages.
  4. Excellent organizational skills.
  5. Ability to work effectively with a team as well as independently.
  6. Ability to manage multiple interruptions and manage priorities.

Preferred Education and Experience:

  1. AA or three (3) years customer service job experience (or equivalent) preferred.
  2. Customer service experience required.

Required Licensing and Other Certifications:

  1. Maintain a valid driver's license and satisfactory driving record.
