Sayres is seeking a Senior Executive Assistant (onsite daily) at WNY with Secret Clearance in Washington, DC.
- Provide senior leaders support for the Front Office by managing calendars, coordinating meetings, arranging travel, and reviewing correspondence.

The Executive Assistant serves as an integrated part of the team providing high level administrative and operations planning assistance to NAVSEA Directors in shipbuilding. The selected candidate will perform a full range of operations support and be responsible for the following: Qualifications & Clearance Requirements
- Coordinate and manage schedules using Microsoft Outlook Calendar, ensuring alignment of internal and external engagements
- Assess and prioritize program activities to avoid scheduling conflicts and ensure efficient use of leadership time. Support program leadership by preparing and delivering detailed briefing materials, gathering relevant data, and liaising with stakeholders to collect key information in advance.
- Arrange business travel, including booking flights, hotels, and car services
- Prepare detailed itineraries, ensuring the executive has all necessary documents and information for their trips.
- Handle phone calls and correspondence, often screening and prioritizing messages.
- Draft, edit, and review correspondence, documents, reports, and presentations.
- Maintain and organizing files and records, both digital and physical.
- Ensure all engagements are aligned with program goals, timelines, and strategic priorities.
- Build effective, collaborative relationships with the executive, other team members, and internal and external stakeholders.
Education, Work Experience, Skills, and Clearance Requirements
- High school diploma or equivalent and a minimum of ten (10) years of relevant and recent experience in a similar setting.
- Experience working within the front office of executive staff for US NAVY or other similar Defense Organization
- Experience directly supporting (front office capacity) senior leadership staff with the utmost discretion.
- Must possess strong organizational and time management skills; the ability to prioritize and perform multiple tasks simultaneously; exceptional interpersonal and communication skills to interact and communicate effectively with people at all levels including senior military and government officials, Congressional offices, and industry leaders; prompt and reliable attendance; highly self-motivated and resourceful with strong problem solving skills; exceptional attention to detail; and the ability to effectively work independently and as part of a team.
- Must have strong verbal and written communication skills with a willingness to work effectively with a team of front office professionals including the ability to generate correspondence in a professional and timely manner.
- Knowledge of administrative management practices and procedures and organizational techniques.
- Ability to work in a fast-paced environment as part of an integrated team and where the workload and priorities change quickly.
- Exceptional command of MS Office Suite, including Outlook, Word, Excel and PowerPoint.
- Active Secret security clearance verifiable in DISS prior to the start date.
Preferred:
- Prior experience in support of Naval Sea Systems Command (NAVSEA) within a Front Office/Operations team environment.
- Experience working on-site at the Washington Navy Yard (WNY).
