POSITION SPECIFICS

The Office of Student Aid is seeking an Administrative Assistant whose primary responsibility will be ensuring the proper receipt, handling, imaging, and distribution of all documents, typically over 50,000 annually, received by the Office of Student Aid. In addition, this role is responsible for assisting in the coordination of all office document processing for the successful awarding, monitoring and oversight of federal, state and university student aid, its procedures and processes in the delivery of student financial aid. This position is responsible for appropriate stewardship of financial need data and FERPA confidentiality policies and following detailed workflow instructions from the supervisor in support of the Office of Student Aid's strategic plan.

Position details:

  • Provide daily support to University awarding personnel via phone, e-mail, or through specialized report data, as well as collaborate with other Campus Aid representatives
  • Troubleshoot document issues and processes with University personnel and outside agencies in the administration of all document processing for resolution of student record issues
  • Responsible for Service Now Requests for imaging codes and changes in the Work Assignment queues for DocFinity and collaborating with Penn State Information Technology staff on technical issue resolutions
  • Assist in updating the received check file for incoming paper checks, and distributing to the appropriate office
  • Assist in the review of Office of Student Aid policies and procedures to ensure ongoing compliance with federal and state statutes and University policies and guidelines
  • Participate in meetings and committees related to the work of the office and the work of Enrollment Management
  • May interview, train, and direct the work of other support staff, students, and wage payroll personnel in the document processing area
  • May perform non-routine and confidential administrative duties, and proxy responsibilities as authorized

This position is based at University Park.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

BACKGROUND CHECKS/CLEARANCES

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
