Job Title: Application Analyst III, Clinic Acquisitions

Primary Role

The Application Analyst III, Clinic Acquisitions position within the DHTS (Duke Health Technology Solutions) Maestro Care Revenue Cycle team will coordinate and manage all components associated with Duke Health growth and expansion including overall project coordination, subject matter expert (SME) guidance for technology solutions and operational processes, internal & external status reports, project plan maintenance, and other clinic acquisition duties as defined.

Growth and expansion include, but are not limited to:

* Clinic and Hospital Unit moves,
* Duke Health Integrated Practice (DHIP) and Hospital acquisitions (including divestitures such as Duke Health Lake Norman),
* Managed Services Organization (MSOs) affiliations, including Joint Ventures (JVs), and
* Community Connect Sites.

This role will also:
* Provide an onsite presence and act as a SME to ensure comprehensive discovery and readiness processes to prepare new clinics for the transition to Maestro Care as well as other agreed-upon technology tools

* Regularly engage with clinic leadership and end-users to manage issues and provide training tips and optimization suggestions

* Assist with identifying opportunities for new provider efficiencies within Maestro Care and other agreed-upon technology solutions and workflows thru individual engagement with clinic leadership, or alignment with other identified operational and technical resources within and outside DHTS.

Essential Tasks/Responsibilities

* Provide information and guidance for new departmental requests via email and phone calls
* Perform review of submitted departmental requests for completeness and correct information
* Review contracts for IT products and services in support of clinic acquisitions
* Lead weekly Facility Org meeting by preparing agenda and adding departmental requests for discussion
* Coordinate with operational stakeholders or others (as agreed-upon) interested parties with requisite information
* Maintain New Clinic spreadsheet with appropriate information for IT and operational customers
* Create request with appropriate templates for IT staff to complete build for new department
* Review incoming tickets for Maestro Care Concierge team and route to the correct individual and/or team(s)
* Lead new Clinic Acquisitions and Community Connect preparation activities
o Setup standing meetings and maintain minutes
o Manage distribution and review of Discovery document
o Coordinate review of clinical and revenue cycle process and obtain answers to questions
o Assist with Operational questions to transition current processes to Maestro Care and other agreed-upon tools
o Coordinate install and/or access to Duke network
o Coordinate installation of cabling, where appropriate
o Coordinate installation of hardware (workstations, printers, etc)
o Assist with review of past charges for potential new billing codes
o Assist with required vendor contracts including scheduling meetings and coordinating demos
* Coordinate with Duke administrator for sponsor of Community Connect super user guest account and Epic access
* Coordinate demos and training for clinic/site leadership including, but not limited to:
o Scheduling/Front Desk/Pre-Registration
o Billing & collection processes
o Associated clinical documentation
* Work with Revenue Cycle and Clinical Training Teams for scheduling availability and test system readiness
o Provide user information for class registration
* Assist with external Referral process
* Coordinate manual appointment conversion (incl. guarantor and coverage conversion)
* Go Live Preparation
o Coordination of go-live support, revenue cycle, clinical and clerical
o Assist with printer mapping/Technical Dress Rehearsal
o Lead onsite Command Center operations
o Provide onsite support for two weeks

Education/Training

Required:

* BA/BS or equivalent experience
* Epic certification/proficiency or
* Other relevant clinical or revenue cycle professional or educational certification (such as MBA, CPC, etc.)

Experience

Required: Five to nine years of progressive healthcare IT experience including five years of operational and/or technical design and/or management of healthcare IT solutions (incl. Project/Portfolio Management or oversite)

Preferred: Ten years of progressive healthcare IT experience including ten years of operational and/or technical design and/or management of Duke health care IT solutions (incl. Project/Portfolio Management or oversite); Maestro Care system design, deployment and/or support experience.

Skills

Required
* Knowledge and experience with health care information systems (operational & technical)
* High degree of competency with learning and interpreting IT systems
* Excellent communication, interpersonal and team skills; proven ability to lead meetings, prioritize, resolve conflicts, maintain issues lists and manage a project plan
* Demonstrated written, verbal and follow-up skills.
* Epic certification or prior EHR implementation experience
* Strong computer skills required; experience with Microsoft Office Suite, Project Management essentials, ServiceNow, Maestro Care
* Strong problem-solving and customer service skills
* Valid drivers license
Preferred

* Certification, proficiency or professional certification in relevant module or operational/technical domain
* Clinical and revenue cycle workflow experience in an ambulatory or clinic setting in primary or specialty care.
