Summary of Position: The CRM & Application Specialist is a dual-focus role that supports the college's enrollment operations with a primary emphasis on CRM system support, maintenance, and technical functionality, alongside application review and processing. This position supports the accurate assignment of applicant statuses and the maintenance of student record integrity while serving as an operational support resource for the CRM team. The role ensures data accuracy, performs routine system configuration and troubleshooting, supports ongoing technical maintenance, and collaborates with Enrollment Services partners to ensure enrollment systems and processes function efficiently and consistently with College requirements.

Essential Functions

1. Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect. Regular attendance is required.

2. Perform office function's which may include, but are not limited to: respond to internal/external customers and staff; create and modify documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.

3. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.

4. Student Success is the cornerstone of Western's culture and the college may assign employees as needed to other areas or additional duties to foster this success

5. CRM System Support & Maintenance - Supporting Action/Task May Include:

  • Serve as a first point of contact for CRM system end users, including troubleshooting, issue resolution, and access management
  • Perform application setup, configuration, and changes to support business needs
  • Maintain the CRM system through regular updates, form management, routine maintenance, and participation in testing and deployment of CRM fixes and enhancements.
  • Conduct regular system monitoring, validation, and data quality checks to maintain system integrity
  • Review and respond to CRM-related requests including reporting, data access, communication setup, and functional enhancements
  • Update and maintain related tools and technical documentation, including SharePoint resources, job aids, and process documentation
  • Collaborate closely with the CRM team to escalate complex issues, provide user feedback, and support continuous system improvement
  • Cross-train coworkers on key CRM technical functions to ensure service continuity
  • Communicate system updates, required actions, and issue resolution clearly and effectively to stakeholders

6. Application Review and Processing - Supporting Action/Task May Include:

  • Evaluate application materials and assign appropriate admissions decision statuses
  • Maintain student record accuracy and integrity throughout the student lifecycle using CRM and Student Information System software
  • Ensure compliance with state and college regulations and policies
  • Identify, investigate, and resolve discrepancies in student records, determining appropriate corrective actions to support timely student progression
  • Collaborate on application related system testing, workflow improvements, and process enhancements connected to CRM functionality
  • Provide timely, accurate, and professional support to coworkers regarding application status, admissions decisions, student records, and CRM functionality
  • Maintain strict adherence to FERPA and other privacy and regulatory requirements, ensuring confidentiality and appropriate handling of sensitive student information

Qualifications

Minimum Qualifications:

  • Associate degree in related field OR
  • Education in related field combined with appropriate occupational experience totaling 2 yrs. OR
  • Related occupational experience totaling 2 yrs.

Special Instructions/About Western

This position reports to: Manager of Welcome Center & Enrollment Systems

Starting annual/hourly salary range based on education and experience: $21.95 - $28.12

This position would include competitive salary, along with a wide variety of benefits available to full-time Western Technical College Employees.
