Rutgers, The State University of New Jersey is seeking a Grant Facilitator Level 2 within the Grants Office/Admin/Finance at the Rutgers Cancer Institute.
The purpose of this position is to provide guidance and assistance to all Cancer Institute researchers for the life cycle of extramural funding. The Grants Facilitator Level 2 reports directly to the Senior Grants Administrator and is responsible for tasks associated with all stages of the pre- and post-award life cycle functions from submission to final reporting. Primary responsibilities include proposal development including budgetary data, review and submission of the funding proposal, facilitating and guiding researchers with sponsor pre-award reviews, award set-up, and serving as a point-of-contact in all post-award from award set-up to close-out. In addition, this position provides guidance and insight on tasks which include but are not limited to knowledge/interpretation of sponsor guidelines/regulations, Institute sponsored policy adherence in both pre- and post-award modes, utilization of external/internal sponsor and university portals, reporting and data collection functions. The Grants Facilitator Level 2 works closely with the Finance Department to ensure compliance, allowability and allocability of sponsored research fund alignment with Uniform Guidance, Rutgers University, Rutgers Health, and sponsor guidelines.
Essential Duties and Responsibilities include the following:
Pre-Award/Post Award Proposal Development
- Assists faculty/researchers on proposal content and presentation.
- Works closely with financial analysts, in preparation of required sponsor and RU internal budget documents and makes recommendations for effective presentation to the sponsors.
- Works closely with Finance Department Business Managers, Finance Supervisors, Analysts, and other Finance staff/liaisons to prepare monthly financial analyses for presentation and discussion with faculty and researchers, and to review and ensure that all award cost transfers, realignments, and expenditures are completed accurately, timely, and in full compliance with applicable requirements.
- Assists in the drafting of letters of recommendation, collaboration, and institutional support as needed for grant applications.
- Provides copy-editing, formatting, and compliance review for all documents, as requested.
- Assists with verifying and translating often complex and/or contradictory grant application regulations and interacts with grant sponsors as needed for clarification.
- Assists faculty with the technical elements of the proposal submission process, whether using a system-to-system platform (i.e., RAPSS), a customizable third-party portal (e.g., ProposalCentral), or directly working in federal portals such as ASSIST when submitting scientifically complex or multi-project applications.
- Assists in analyzing feedback from summary statements in preparation for proposal resubmissions, as needed/requested.
- Assists in developing and editing successful proposals in accordance with each grant-making organization's specific guidelines and requirements, i.e., NIH Just-in-Time reviews, federal and non-federal sponsor recommendations.
- Assists faculty and researchers with interim, progress, and final financial reports, and facilitates incoming award transitions and transfers for new faculty as needed.
Data Management and Reporting
- Under the guidance/supervision of the Senior Grants Administrator, responsible for making sure all document tracking is updated and accurate such as Letter of Institutional Support (LOIS) tracker, Application Intake Data Ticketing/Tracking.
- Under the guidance of the Senior Grants Administrator, researches funding opportunities, proactively informs faculty and staff of available opportunities and assisting in utilizing ProQuest Pivot database to match relevant research interests to potential opportunities.
- Surveys faculty periodically assesses their grant-related needs and regularly revisits procedures to ensure that the Grants Office is optimally meeting those needs.
- Understands and adheres to Rutgers' compliance standards as they appear in RBHS's Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy. Understands, demonstrates, and models the Rutgers Cancer Institute core values.
- Keeps abreast of all pertinent federal, state and Rutgers's compliance standards as they appear in RBHS's Corporate Compliance Policy, Code of Conduct, and Interest policy.

| Minimum Education and Experience |
- Bachelor's Degree in related field. Plus, five (5) years of professional level administrative or research experience required.
