Description

Provide administrative assistance for the Allied Health Programs Division Chair on campus and off campus directors faculty college staff students and customers.


Description of Essential Functions (critical tasks)

Essential Job Functions:

  1. Receptionist to public patients, students and staff. Provides Administrative Assistant duties to instructors.
  2. Answers directs and assist incoming calls for all Allied Health Programs.
  3. Notifies students concerning cancellation of classes and posts notices during instructor absences
  4. Prepares mailings of departmental materials.
  5. Maintains office records including budget information purchase orders and completes credit card reconciliation monthly.
  6. Maintains inventory budgets and orders supplies for Allied Health programs.
  7. Maintains PTA and MT Program library.
  8. Compiles and disperses data from student - clinical facility yearly evaluations.
  9. Prepares correspondence and compiles data for accreditation purposes.
  10. Prepares copies and revises Student handbooks Clinical Instructor Handbook and other forms as needed.
  11. Maintains student records and cohort files according to accreditation standards.
  12. Prepares and maintains accreditation information.
  13. Schedules monthly appointments for massage therapy clinic and maintains client information forms for massage therapy clinic in accordance with HIPAA requirements.
  14. Types proofreads and assists with preparation of course materials syllabi tests handouts brochures and presentations for faculty.
  15. Proctor Exams.
  16. Assists in organizing special events meetings workshops seminars and other activities.
  17. Assists with coordinating and maintaining contracts with external facilities.
  18. Receives and delivers mail and messages to instructors.
  19. Enters relevant data into the college's data management system.
  20. Assists students with basic questions regarding allied health programs and directs students appropriately.
  21. Performs other related duties as assigned.

Specific Functional Job Requirements

Education Requirements:

  • High school or equivalent required; Prefer related AAS.

Experience Requirements:
  • Minimum experience in an office setting, related experience in college setting preferred.

Knowledge:
  • Business etiquette, general office procedures.

Skills:
  • Excellent interpersonal, oral and written communication, and organizational skills; Microsoft Office XP; and work processing skills.

Personal Requirements:
  • Detail-oriented, self-starter who enjoys relating to a diverse population of students, staff and public in a fast-paced work environment with multiple interruptions.
