The Administrative Assistant provides high-level administrative and operational support to ensure the smooth and efficient functioning of the various departments they support. This role requires professionalism, adaptability, and strong attention to detail.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES



  • Serve as a primary point of contact for internal and external partners.
  • Maintain accurate records, files and documentation (digital and physical).
  • Ensure team member kitchen and shared spaces are kept clean, organized, and well-maintained.
  • Order office supplies, manage inventory, and maintain office equipment.
  • Obtain, open, and distribute mail to appropriate departments and employees.
  • Assist with data entry, reports, and basic bookkeeping as needed.
  • Prepare, edit and distribute correspondence, reports and presentations.
  • Coordinate office events and meetings.
  • Complete special projects as requested and perform other duties as assigned.


EDUCATION, SKILLS, AND ABILITIES REQUIRED



  • Strong foundational skills in math and English at a high school diploma or GED level are required; an associate's degree in office management or related field is preferred.
  • Professional phone etiquette with the ability to maintain a positive, customer-focused demeanor under pressure and competing demands.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Experience in electronic and physical filing relating to documents, certificates, and forms.
  • Ability to communicate clearly and professionally with internal team members, job applicants, vendors, and external business partners.
  • Experience supporting senior leaders and/or cross-functional teams.
  • Possession of a valid driver's license, and the ability to operate a motor vehicle.


PHYSICAL REQUIREMENTS/ ADA ESSENTIAL FUNCTIONS



  • Ability to sit or stand for extended periods of time.
  • Manual dexterity and hand-eye coordination for typing, filing, and using office equipment.
  • Visual acuity and ability to read small print.
  • Hearing acuity and ability to communicate effectively with others.
  • Ability to lift and move office supplies and equipment.
  • Mobility and ability to move around the office as needed.


WORKING CONDITIONS



  • Low risk of exposure to unusual elements.
  • Low risk of safety precautions.
  • General office environment.
