The Opportunity: We are seeking a seasoned, high-caliber Executive Assistant to support a prominent Principal whose interests span global business, investment, philanthropy, and public-facing initiatives. Based out of a private home office in the city, this role is a partnership designed for a professional who thrives in a fast-moving, "less-corporate" environment that still demands a C-Suite standard of execution.
Working alongside an existing EA, you will act as a critical gatekeeper and operational lead, ensuring the Principal's complex personal and professional life runs with total continuity.

The Mission
  • Strategic Coordination: Manage a high-volume, ever-changing calendar across multiple time zones. You won't just book meetings; you will anticipate conflicts and prepare the Principal for every engagement with comprehensive briefs.
  • Complex Logistics: Architect intricate travel itineraries including private/commercial aviation, accommodations, and real-time ground support.
  • Home Office Hub: Serve as the "anchor" of the UWS home office. This includes managing household staff, coordinating property vendors, and overseeing day-to-day operations from mail and packages to household inventories.
  • Technical Oversight: Act as the first line of defense for the Principal's technology. You will work with IT to ensure all devices, digital files, and communication systems are functioning at 100% efficiency.
  • Special Projects: Manage sensitive personal and professional matters, philanthropic initiatives, and property-related projects with absolute discretion.
Core Responsibilities
  • Administration: Draft high-level communications and distill complex information into clear, actionable summaries.
  • Property & Staff Liaison: Coordinate with building management, household staff, and external vendors for repairs, maintenance, and pre-arrival/post-departure logistics.
  • Operations: Support digital and physical filing, contact management, and the tracking of long-term project deadlines.
  • Personal Support: Handle errands, returns, and household task lists that ensure the Principal's productivity is never interrupted.
The Profile
  • Experience: 8+ years supporting a C-Suite executive, Founder, or UHNW individual. Backgrounds in top-tier Finance, Consulting, Law, or a Family Office are strongly preferred.
  • Environment: You are comfortable working in a private residence and understand the boundaries and etiquette required in a home-office setting.
  • Technical Fluency: You are an expert in Microsoft 365, Google Workspace, and iCloud. You possess the "tech-savviness" to perform basic troubleshooting and manage digital photo/file libraries.
  • Communication: Exceptional writing skills are non-negotiable. You must be able to communicate with board members, advisors, and household staff with equal professionalism.
  • Availability: In-person support Monday-Friday (9 am - 6 pm) with the flexibility to handle urgent needs outside of standard hours as required by the Principal's schedule.

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
